Workplace Support

Role Purpose

Reporting to the Soft Services Manager, you will ensure onsite delivery of Workplace operations within your buildings of responsibility are delivered on time and to a high standard.

Being the sites champion, an ambassador for our services, ensuring standards are as expected, being the go to person for site. Building relationships with all users, supporting the Site management through administrative tasks, engaging at every opportunity.

What this job involves

  • Perform administrative tasks in support of the account.
  • Understanding of Workplace services and process in order to maintain work order KPI objectives.
  • Provide timely and accurate management information for use by the Account team.
  • Enhance service delivery through best practice and the effective use of systems and equipment.
  • In depth knowledge of contract systems for finance and operations
  • Relationships with both direct and indirect supply partners.
  • Conduct daily audits and liaise closely with service providers (Cleaning, Catering, Reception, Helpdesk, Security, Grounds, Porterage, Events, Maintenance and Projects) to report and resolve issues.
  • Escalate any non-performance to ensure a swift response to all service issues.
  • Problem solving, seeking solutions proactively.
  • Recording of audit outcomes via CAFM system, ensuring that all service requests are allocated to the appropriate supply partner and closed out accordingly.
  • Provide all services in a prompt, efficient and professional manner to both internal and external customers.
HSSE
  • Work within the requirements of the client and JLL\'s Health & Safety policy, ensuring that all non-conformances and opportunities for improvement are reported to the Workplace Management Team
  • Good understanding of near Miss reporting/unsafe acts and conditions.
  • Identify report and follow up faults, defects, complaints and potential hazards
  • Support JLL & Clients goals for Sustainability through service and innovation
Client and Customer Satisfaction:
  • Service Quality and Delivery \xe2\x80\x93 did we deliver what we promised on time
  • Good communication \xe2\x80\x93 responsive to the requirements and changes
  • Deliver \xe2\x80\x98best in class\xe2\x80\x99 Customer Service and Satisfaction
  • All building users\xe2\x80\x99 needs to recognize them as the contact for Workplace services in their buildings
  • Conduct daily audits and liaise closely with service providers (Cleaning, Catering, Reception, Helpdesk, Security, Grounds, Porterage, Events, Maintenance and Projects) to report and resolve issues.
  • Embrace and utilize technology to capture and facilitate improvements.
  • Proactively log jobs and make changes before building users have a chance to notice.
  • Develop and maintain excellent client relationship based on open and honest communication
  • Be responsible for the image and visual standards of all external and internal and related communal areas, wherever appropriate.
  • Be responsible for the confident and efficient delivery of day-to-day delivery of Workplace services.
  • Flexibility may be required within your working hours to accommodate the operation
Desired skills and experience for this job:

Qualifications & Experience:
  • A good knowledge of IT Microsoft applications i.e. Word, Excel, PowerPoint
  • Ability to operate in a confident, polite and approachable manner
  • You will need the ability to plan and prioritize
  • Have strong organizational skills, for records management etc.
  • PC Literate \xe2\x80\x93 understanding of how to use the technology as a tool
  • A demonstrable understanding of the Workplace services
  • Good presentation and above average interpersonal skills
