About the Role:



We are looking for a proactive and detail-oriented

Wholesale and Production Administrator

to join our growing team in Wembley. This is a full-time position perfect for someone with 1-2 years of experience in a similar administrative or production support role, ideally within the food or wholesale sector.

Key Responsibilities:



Wholesale Support



Manage and monitor the wholesale inbox, ensuring timely and professional responses. Handle incoming wholesale calls, dealing with enquiries, order updates, and customer complaints efficiently. Respond to all potential wholesale and ADHOC customer enquiries -- including providing quotes, pricing, product samples, delivery/collection information, and account setup support. Maintain and update the Potential Wholesale Customer Tracker, logging all incoming leads. Proactively research and approach potential new wholesale clients to expand business reach.

Production & Order Management



Process all internal, ADHOC, and wholesale orders accurately and promptly. Create and distribute essential documents including delivery notes, packing sheets, and production schedules for bakeries. Coordinate with logistics partners, internal teams, and customers to ensure smooth order execution and delivery. Keep product information up to date, including specifications and pricing. Run regular reports on production output and share key insights with the wider team.

Billing & Payments



Generate and send out invoices for ADHOC customers; take payments over the phone securely and professionally. Every Monday, reconcile and log all weekly order amendments before generating the final invoice summary for both customers and retail shops.

We're Looking For:



1-2 years of experience in an admin, wholesale, or production support role. Proficient in Microsoft Excel - confident with spreadsheets and basic reporting. Basic computer navigation skills - email, order systems, and standard office tools. Excellent phone etiquette - calm, professional, and clear communicator. Fluent in English - both spoken and written. A good listener - able to understand customer needs and respond thoughtfully. Strong customer service skills - friendly, patient, and solutions-oriented.
Job Type: Full-time

Pay: 28,000.00-30,000.00 per year
