This role will be in the membership sector of Wonderly, Haymarket Media Group's in house agency serving professional and medical membership clients. Wonderly's membership sector provides the best in class strategy, content, events and technology services for all its clients and their tailored needs.

Attendance at events is a key element of this role and you will be required to travel regularly and to work out of hours as required.




Reporting into the Head of Event Operations and acting as the primary liaison with internal and external stakeholders, the Senior Event Manager will be responsible for the overall operational delivery of a number of prestigious association client events matching event delivery to client objectives and commercial opportunities. Accountable for operational budgets the role holder needs to excel at budgeting, forecasting and negotiating with suppliers. Further experience will be gained from working within a larger operations team, supporting and attending a variety of large scale conferences and exhibitions across a diverse portfolio.

The role will be responsible for the line management of one direct report ensuring that the operational delivery of their events is achieved and that their personal development and training needs are met.

Responsibilities:

Key accountabilities


Responsible for the overall operational delivery of events that exceed the expectations of our clients. The role holder will pride themselves on running a professional series of events to an exceptionally high standard.

Event operations/Logistics management



Manage, to an exceptional standard, the delivery of events including management of the venue, all suppliers, speakers and staff ensuring best attendee experience from pre-event to post-event Management and delivery of medium-large scale exhibitions including exhibitor processes and management, features, content theatres, floor plan, furniture, AV, signage, health and safety and the delivery of all sponsorship packages and deliverables whilst adhering to ABPI compliance requirements. Manage, mentor and develop direct line report, setting objectives and having regular 1-2-1 meetings. Produce and maintain a timeline for each event ensuring that the event runs to schedule and all deadlines are met. Create processes, making improvements and efficiencies across the portfolio. Participate in regular client and supplier meetings, delivering briefings, presentations and event statistics. Maintain effective working relationships with internal teams, external suppliers and client stakeholders and ensure best practice is shared and efficiencies are communicated across the entire events team. Source and negotiate with all key venues and suppliers to secure the best products and services available at a competitive price whilst complying with Haymarket's procurement policies. Manage set up of event registration and abstract management sites which includes testing, supporting the selection process and comms with attendees. Responsible for managing budgets/expenditures and maintaining forecasts along with prompt financial reconciliation. Raise purchase orders, process invoices and payments in line with payment terms. Collate post-event feedback and produce debrief information so that improvements can be made for future events. Ensure compliance with all company and client policies and procedures, including those relating to sustainability, health and safety, privacy and security.

Experience of delivering B2B conferences and exhibitions of all formats and sizes Line management experience Meticulous attention to detail, a creative eye and the ability to manage multiple events simultaneously Experience of setting and managing budgets with overall event P&L responsibility Proven track record in managing client and supplier expectations and developing and maintaining relationships Strong experience on venue search and contract negotiation Proactive, enthusiastic and solution orientated approach to meeting event objectives and a flexible, can-do attitude to work in general Excellent presentation, interpersonal and communication skills when working with all stakeholders (both internal and external), able to present ideas and results clearly and effectively and to influence decision making
