We are pleased to be recruiting for a long-standing organisation based in Bovingdon who are looking for a well-rounded Senior Administrator to join their close-knit team on a permanent, full-time basis.

Day to day you will be supporting the Directors and Consultants assisting with anything from managing diaries and travel arrangements to liaising with clients and handling the company\xe2\x80\x99s filing systems.

We are looking for candidates who are confident in making decisions and can build strong relationships. We are also looking for someone who would be open to updating and managing the company\xe2\x80\x99s website and other online accounts to make sure they are up to date.

This role is on a permanent basis, full training is provided and a very supportive team that you\xe2\x80\x99ll work alongside, a salary between \xc2\xa325,000 to \xc2\xa328,000 (depending on candidate experience) is on offer, free parking on site, excellent pension scheme, opportunity to make the role your own and more!

The company operates Monday to Friday, hours are 9am to 5:30pm with a 1-hour lunch break, and please note this role is fully office based.

Responsibilities

  • To support and manage filing systems.
  • Act as a liaison internally and externally between the directors, the company, and their extensive client base.
  • To manage the directors\xe2\x80\x99 diaries and travel arrangements as necessary.
  • Provide secretarial and administrative support to the directors, prepare documents and business presentations with a high degree of accuracy.
  • Manage accounts on Twitter, Instagram, Facebook, LinkedIn & YouTube.
  • To manage the corporate client liaison and entertainment diary, ad hoc promotional events, contact management and associated record systems, booking events, as required.
  • Maintain and manage domain name registration and associated matters.
  • Maintain and manage personnel records, training schedules.
  • Maintain the motor insurance database for company vehicles.
  • Act as a liaison for all company mobile phones ensuring that all users receive updated phones.
  • Ensure that the electricity supply is with the most cost-efficient company and on the best tariff.
  • Maintain customer contact database and migration of website registrant\xe2\x80\x99s details. (Internal training will be given) including Mailchimp mailing lists for marketing.
  • Take minutes of board, management and valuers\xe2\x80\x99 meetings. Type up and distribute to attendees.
  • Update and manage the Company website.
  • Draft and produce marketing material in accordance with company brand guidelines.
  • Flexibility to support wider team when required to cover holidays/sickness.
  • Liaise with external suppliers to ensure deadlines are met.
Candidate Skills
  • The ability to provide efficient and effective administrative support.
  • Experience of operating efficient office systems.
  • Ability to work proficiently with Microsoft Office applications such as Outlook, Excel, PowerPoint and Word.
  • Social Media familiarity would be desirable (Twitter, LinkedIn, YouTube, Facebook & Instagram \xe2\x80\x93 uploading content, posting updates etc.)
  • The ability to maintain efficient, effective, and secure filing systems.
  • Able to communicate effectively with colleagues, clients and customers and all levels.
  • Excellent word processing skills and able to compose correspondence on standard issues.
  • Able to show flexibility and initiative.
  • Possess strong organisational skills, the ability to manage priorities and multi-tasking skills.
