Job Overview:



Working as part of a close-knit team through to director level to ensure the smooth running of all operations of the business, covering all administrative functions.

Main Duties:



To schedule operations To ensure schedule is up to date at all times, including sickness and absence Contact with clients to arrange attendance dates and any requirements for attendance Contact clients re confirmation/cancellation/rescheduling/delays Organisation of job specific plant and materials, both ordering and getting to site Ensure Job Tracker is complete and up to date at all times Monitoring staff training records, updating files and spreadsheet matrix Arrange training based on needs expressed by senior management Receive, review and prepare subbie invoices Track and maintain all fleet records using fleet tracker Schedule and arrange servicing and maintenance of fleet, including vehicle handovers and collections Collate parking invoices and assign to jobs to pass to accounts Raise POs Complete PO tracker Reception for AVALON HOUSE - dealing with visitors, deliveries, post (in and out) Main contact for answering telephone calls, efficient handling of queries and messages Monitor incoming enquiries inbox, open & review tenders, pass on and monitor progress Organise parking for operatives as required Collating expenses for operatives and staff for accounts department General administrative assistance and back-up as required Assistance to Marketing Director for promotional work as required, administering contacts database, sending out and monitoring responses to electronic mailshots. General Administrative support to managers as required Any other tasks that are related, or may reasonably be requested

Personal Qualities and Skills required:



Team player, (ready to be thrown in at the deep end!) Flexible and able to multi-task and prioritise own workload Good telephone manner - able to remain calm under pressure Ability to work on own initiative Pro-active Previous experience in a construction environment desirable

Education/training:



Educated to GCSE Level or equivalent Competent in Microsoft Office Word, Excel, Outlook CRM type database experience preferable - or competent and willing to learn

Salary:

28k per annum
