Job Overview:



We are seeking an experienced Sales & Service Coordinator to join our team whose primary responsibility will be to efficiently

schedule and coordinate our in-house mobile engineers

spread across the country. You will be responsible for managing service-related communications, preparing service schedules, logging breakdowns, arranging training, and ensuring the smooth flow of service operations. This role also involves various sales administrative tasks such as answering telephone calls, respniding to sales emails, sending quotation and processing sales orders to support the service department. The ideal candidate will be highly organised, possess excellent communication skills, and have a strong administrative background.

Key Responsibilities:



Service & Repair Scheduling:

Schedule and coordinate the diaries of the mobile and in-house engineers, liaising with customers to arrange service and breakdowns and ensuring the Job List and Job board is kept up to date and accurate.

Sales Order Processing and Admin Support

: Managing the sales inboxes and responding to customer emails in a timely manner, answering phone calls from customers, processing sles order received via online, telephone or mail. Processing Sales Orders in Sage 50 and despatching them to the warehouse for despatch.

Customer Management:

Proactively engage with customers to schedule future service contract work, ensuring their equipment stays calibrated and that certificates are renewed annually.

Calibration & Certification

: Manage and prepare calibration certificates for customers' records from engineer's worksheet, and ensure the calibration database is correctly managed.

Customer Hire Schedules:

Stay up to date with customer hire schedules and invoicing, arranging deliveries and off-hires as required.

Emails:

Monitor phone lines and email inboxes, responding to service and repair related enquiries and adding to the Job List as required.

Invoicing Support:

Review and prepare worksheets for invoicing, advising customers on the outcomes and arranging follow-up repairs when necessary.

Parts Management:

Arrange necessary parts required for breakdowns and follow-up repairs and information for quotes as required.

Minor Responsibilities:



Van Fleet Management:

Oversee the management of the van fleet, keeping the schedule up to date and arranging servicing, MOT's, tax payments and repairs as necessary.

Monthly Report Analysis:

Analyse and prepare various monthly reports.

Customer and Supplier POs:

Arrange customer purchase orders and generate supplier purchase orders as needed.

Ad-Hoc Tasks:

Support the team with general office duties / tasks as required, providing administrative support to colleagues when needed.

About You:



1-2 years of experience in service programming preferred. Strong organisational skills and attention to detail. Excellent communication and customer service skills. Competent in complex diary management. Proficient in Excel and MS Office Suite. Familiar with Sage preferred but not essential. Ability to multitask and work efficiently in a fast-paced environment. Able to think on your toes and prioritise effectively.
