About the Role



Are you a proactive, detail-oriented individual who thrives in a fast-paced sales environment? We're looking for a Sales Administrator to play a pivotal role in keeping our sales processes running smoothly.

In this role, you'll support our sales team by processing orders, managing sales data, and coordinating with customers to ensure seamless service. You'll handle customer inquiries with professionalism, ensuring they receive exceptional support. Keeping records up to date and assisting with essential administrative tasks will be a key part of your day. You'll also play a role in improving processes and ensuring the team has everything they need to succeed.

Your key responsibilities will include:

Sales Administration & Order Processing



Prepare, process, and track acknowledgements, sales, and repair quotations accurately and efficiently. Maintain and update reporting spreadsheets, including Order Intake Analysis and RMA (Return Material Authorisation) records. Respond to routine customer quote requests promptly and professionally. Manage the Sales email inbox, handling enquiries and forwarding as necessary. Maintain an effective filing system for sales documents and records. Provide full administrative support to Sales Managers for key customer contracts, including meeting attendance, minute taking and processing contract-related documentation. Ensure excellent customer communication, providing timely updates and accurate information. Handle customer telephone enquiries, taking and relaying messages when needed. Record and distribute Sales Visit Reports as appropriate.

Contract & Tender Support



Assist in the preparation and submission of tender responses and proposals.

Marketing & Event Coordination



Assist with the planning and execution of training courses, including arranging hospitality. Organise internal and external events, such as meetings, training sessions, exhibitions, and conferences, under the direction of Sales Managers. Liaise with external suppliers for marketing materials (e.g., promotional items, graphic design, exhibition stands). Support the Sales & Marketing team with website updates, including content creation and news articles.

Data Management & Pricing Support



Coordinate and monitor Enquiry Reviews and Contract Reviews to ensure compliance with business procedures. Maintain and update price lists under the direction of Sales Managers, aligning with company pricing strategies.

General Administrative Support



Provide occasional support to other administrative functions within the company as needed.

About you



You're a highly organised and detail-oriented sales administrator with a background in an engineering or technical environments. You have a strong ability to communicate effectively across different teams and adapt your approach to suit various stakeholders, staying flexible when priorities shift.

You're proficient in ERP/CRM systems, and you excel at managing sales documentation, orders, and other administrative tasks while ensuring all data is precise. Proactive by nature, you anticipate potential challenges and address them before they arise.

Building strong relationships with colleagues and customers comes naturally to you. You work confidently with cross-functional teams, handling sensitive sales information and documentation with professionalism and confidentiality. You are a natural multitasker and thrive in an environment where your organisational skills are essential.

Experience in event coordination and marketing support would be beneficial, and a willingness to travel occasionally for business events within the UK and overseas is an added advantage. Most importantly, you bring a structured, analytical approach and are committed to supporting the success of the sales team, working both independently and collaboratively to meet objectives.
