Job Overview:

We are looking for an experienced and motivated Lettings Manager to join our dynamic estate agency team. In this role, you'll oversee the lettings department, manage a portfolio of rental properties, drive business growth, and ensure outstanding service to both landlords and tenants. The ideal candidate will have a strong background in property lettings, excellent leadership skills, and a passion for delivering results.

Key Responsibilities:



Lettings Management



Oversee the end-to-end lettings process, from listing properties and conducting viewings to tenancy agreements and move-ins. Ensure all properties are marketed effectively across relevant platforms to minimise void periods. Qualify prospective tenants and carry out referencing checks in line with company policy and legal requirements. Prepare tenancy agreements and ensure all compliance documents (EPCs, gas safety certificates, deposit protection) are in place.

Team Leadership



Lead, train, and motivate the lettings team to meet targets and deliver outstanding service. Conduct regular performance reviews and provide ongoing coaching and support. Coordinate daily activities, allocating tasks and managing workloads effectively.

Property Management



Manage a portfolio of rental properties, ensuring regular inspections, maintenance coordination, and compliance with all legal obligations. Liaise with contractors and suppliers to ensure timely and cost-effective property maintenance. Handle tenant issues, complaints, and repair requests, ensuring prompt resolution.

Landlord & Tenant Relations



Build and maintain strong working relationships with landlords, providing regular updates and advice. Act as the main point of contact for tenants, ensuring a positive tenancy experience. Manage renewals, rent increases, and tenancy terminations professionally and efficiently.

Compliance & Legal



Keep up-to-date with lettings legislation and ensure full compliance across all processes. Ensure tenancy deposits are registered correctly and within legal timeframes. Manage notices, evictions, and disputes in line with current housing law and company policy.

Financial Responsibilities



Monitor and manage rental income, arrears, and deposits. Support the accounts team with rent collection and landlord payments. Contribute to budgeting and forecasting for the lettings department.

Business Development



Seek opportunities to grow the lettings portfolio through networking, referrals, and marketing initiatives. Conduct market research and competitor analysis to stay competitive and up to date.

Key Skills and Qualifications:



Experience:

Previous experience in Lettings and Property Management or a similar role is preferred. Leadership:

Communication:

Excellent verbal and written communication skills, with the ability to build rapport and trust with clients.

Negotiation:

Strong negotiation skills, with the ability to mediate and resolve conflicts effectively.

Lettings Acumen:

Proven ability, with a track record of meeting or exceeding targets.

Organisation:

Exceptional organisational skills, with the ability to manage multiple tasks and priorities efficiently.

Market Knowledge:

Good understanding of the local property market and industry regulations.

Tech-Savvy:

Proficiency in using property management software and other relevant technology.

Driving License:

A valid driving license is often required for property viewings and client meetings.
