We are seeking a highly organised and proactive Personal Assistant to support our team in daily operations. The ideal candidate will possess excellent communication skills and a strong ability to manage multiple tasks efficiently. This role is essential in ensuring smooth administrative processes and providing high-quality support to one of our directors.
Duties
Manage and organise schedules, appointments, and meetings for our Director.
Receive and make phone calls with professionalism and courtesy, demonstrating excellent phone etiquette.
Assist with data entry tasks and maintain accurate records in various systems, including our project management software.
Perform clerical duties such as filing, photocopying, and uploading documents as required.
Coordinate travel arrangements and itineraries for team members when necessary.
Support the office with general administrative tasks to ensure a productive work environment.
Maintain an organised workspace and assist in managing office supplies inventory.
Respond to email enquiries.
Correspond with new prospects.
Customer relations such as, checking in with previous customers and architects.
Request quotes from subcontractors for new projects and confirm their availability.
Assist in creating quotes for small works jobs.
Assist in handing over new projects with project manager.
Qualifications
Proven experience as a Personal Assistant or in a similar administrative role.
Proficiency in Google Suite applications (Docs, Sheets, Calendar) is essential.
Familiarity with project manager software and Microsoft calendar or similar.
Strong organisational skills with the ability to prioritise tasks effectively.
Excellent verbal and written communication skills.
Attention to detail and accuracy in data entry tasks.
Ability to work independently as well as part of a team in a fast-paced environment.
A positive attitude and willingness to learn new skills are highly valued.
