We are looking for a Personal Assistant to provide full day to day support to our

Audit & Accounts Partner

. Based in our

Borehamwood office

, you will provide an efficient and smooth service, including extensive diary management and administration support. This is a fast paced and demanding role with a lot of interaction, both supporting the partner and the wider team. Through your commitment and talent, you will make a significant contribution to the growth and ongoing success of the firm from the outset.



Day to day duties include, but are not limited to:

Prepare, collate and oversee all documentation, correspondence for the relevant Directors in the Audit & Accounts Department. Running of analytical reports to assess the current status of information held/sent to Clients, Companies House, FCA, HMRC etc i.e. financial statements, ct600's, engagement letters, clearance requests, disengagement letters, audit resignations, money laundering etc Produce workflow reports, as above, in conjunction with the Statutory Department, so that the Partners and Managers are aware of the current status of their portfolios. Ensure that the preparation of full and abbreviated financial statements, corporation tax returns and other time sensitive documents are filed with the regulatory authorities within the deadlines. Preparation of Audit Resignation Letters informing the relevant Regulatory Authorities of a change in status of a Client.

Diary management, including:

All travel arrangements Management of all client appointments, (inc checking that meetings are taking place), any staff reviews needed, internal meetings, lunches and all other relevant meeting requests. Liaise with Directors regarding their portfolios, ie filing deadlines, overdue accounts/ct600's etc Receiving and dealing with telephone calls in the Partners absence professionally, re directing if need be, taking messages or using initiative to deal with queries. Assistance with meeting and greeting clients for the Partners. Preparation of letters, mortgage references and all other documents as requested by the Directors within the Department. Financial Support, including running WIP reports. Update CCH on a daily basis to reflect when financial statements have been sent/received to/from Clients and when issued to Companies House etc, also when ct600's have been passed over to the Tax Department. Raising invoices accurately for clients when required. Requesting, chasing and maintaining a schedule of Bank Audit Letters Produce workflow report monthly of the status of the CT600's and chase relevant Directors clients to return the signed copies and updating CCH where necessary. Logging and maintaining the client record storage system and returning client records once accounts are completed. Raising invoices, allocating billing correctly by department and writing WIP off Preparing expenses sheets as necessary All documents/accounts should be filled on VC in accordance with the Firms procedures Arranging Audit and Accounts department Social events. Continue to keep Clients informed regarding their reporting obligations. Respond to Client queries within an appropriate time period. Keep abreast of current IT issues. Attend training sessions as required. Share knowledge gained in training sessions with others. Communicate with colleagues, clients and potential clients in an honest and direct manner. Maintain client confidentiality at all times in accordance with Sopher + Co LLP Policies and Procedures.

About you





Naturally you will be able to offer and demonstrate previous administrative or Office -based experience, within accountancy practice / professional services firm. You will be confident in working to a high standard, have excellent communication skills and a flexible approach to your work. Ideally you will also have/be:Confidence in liaising with a range of internal and external stakeholders Strong knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook Excellent typing skills Proactive, robust and self-motivated, with a drive for ideas, suggestions and improvements Ability to manage own workload Excellent time management skills and the ability to prioritise work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organisational skills with the ability to multi-task
