How will you be making a difference?
1. Recruitment and Staffing
Assist with job postings, candidate screening, and interview scheduling.
Processing right-to-work checks.
Preparation and issue of confidential documentation (including offer letters, written statements of particulars, job descriptions, employee contracts, etc).
Ensuring new employees are added to the company systems and that they can access any equipment, systems and tools required to perform their duties effectively.
Onboarding: handling and processing new starter documentation.
Administer online DBS checks, ensuring that renewals are actioned within required timescales.
2. Training and Development
Overseeing and updating the Smartbox intranet with relevant HR updates.
Supporting the L&D Assistant with the organisation of learning and development courses, including booking rooms, managing delegate lists, coordinating with external providers, and arranging equipment for any workshops or sessions.
3. Compliance and Legal
Ensure GDPR compliance in all administrative tasks.
Look after driver's license checks for the company.
Reviewing, managing and updating employee information and benefits on our HR system. Ensuring relevant HR records (sickness, benefits, personal details, etc) are maintained and accurate.
Maintain accurate and full employee records.
Process leavers, responsible for the issuing of all leaving documentation, updating the employment status on the HR system, and running exit interviews.
4. Rewards and recognition
Looking after our company membership with Malvern theatres, managing show bookings for our team members, looking after any amendments to requests and membership renewal.
Adding/removing team members from our wellbeing platform YuLife and private medical insurance as required.
Support employee engagement initiatives and internal communications.
Work on departmental initiatives such as employee wellbeing initiatives.
5. Operational Responsibilities
Have a pro-active approach to supporting the People team and managers with ad hoc tasks as required to fulfil company goals and aims.
Maintain databases, filing systems and scan/photocopy documents, as required.
Liaise regularly with team members and manager on any HR or employee queries.
Responding to general queries face to face, by telephone, by Microsoft Teams, and by email and passing on more complex queries to appropriate team members.
Managing the Smartbox jobs inbox.
Prioritise and manage your workload in alignment with your personal objectives and company goals.
Ensure hands-on delivery of daily HR operations.
Produce timely information, reports and analysis as required.
Proactively build strong relationships with all Smartboxers.
Supporting the People Team with various project work and general admin tasks.
Assist with audits and HR reporting as required.
The successful applicant will also be asked to perform other duties on an ad-hoc basis and will need a proactive attitude to this.
Essential Qualifications/skills/experience
Excellent communication and interpersonal abilities, with a professional phone manner.
Ability to work under pressure and cope with changing priorities.
At least 2 years of experience as an administrator or similar role.
The ability to be able to work in a highly confidential way with the ability to apply judgment, common sense, and problem-solving skills in day-to-day challenges.
Exceptional verbal and written communication skills.
Demonstrable track record in taking initiative and working autonomously.
Proactive and 'hands-on' approach with an ability to think 'out of the box'.
Committed to delivering a high level of customer service, both internally and externally.
Ability to handle confidential information with discretion.
Experience in using MS Word, Excel, and Outlook.
A genuine interest in developing a career in HR.
Willingness to undertake a variety of administrative tasks.
Ability to work both independently and as part of a team.
Useful Qualifications/skills/experience
CIPD Level 3 or working towards this (continued support to complete this can be provided).
Basic understanding or interest in employment law and human resources practices.
Additional information:
In this role, you will have the flexibility to work between your home and our office locations in Malvern and Bristol. For this role, we require the candidate to work in the Malvern office twice a week as a minimum.
You will need to maintain a deep understanding and knowledge of all our products and their uses
You will meet and keep in regular contact with other teams in the business.
