24 hours per week. Hours of work will be 8 hour shifts between 08:00 and 20:00 on Monday to Friday and alternate Saturdays 09:00 until 17:30. You will also be required to provide full time cover for annual leave within the Sales Office according to the needs of the Business.
Summary of the Job Role and Purpose:
To promote and process accommodation and event enquiries in order to maximise sales of bedrooms, event space and food & beverage. To ensure successful planning to generate complete guest satisfaction and that all information is communicated efficiently to all departments within the Hotel as required.
Key Duties
Enquiries
- Handle initial enquiries within 24 hours, check availability, log details, arrange show rounds of both rooms and bedrooms and to follow these up within 24 hours.
- Chase enquiries and leads and achieve conversion targets.
- To actively assist in the achievement of sales budgets
Administration
Opera:
- Enter and update all details for accommodation and events on to the system.
- Send confirmation emails, contracts and deposit requests and update system as necessary.
- To ensure that all payment methods have been agreed for all reservations, following correct procedures and ensuring compliance with GDPR.
General Office Administration
- Prepare all levels of correspondence and documents to the Maids Head standard.
- Ensure that all updates and final details are distributed to the team in a timely manner.
- Confirm details with all suppliers.
Communication
- Liaise effectively with staff in all departments.
- Attend weekly operations and daily 10@10 meetings to update teams and ensure fully briefed to ensure complete guests' satisfaction.
- Be an active and positive member of the sales team and contribute to ways of improving and developing standards and increasing sales.
Promotion
- To actively assist in the promotion of the Hotel.
- To identify sales leads and initiate action.
- Encourage clients to post reviews on TripAdvisor.
- To assist in postings on social media sites, ensuring GDPR adhered to.
Additional Duties
- Encourage sales of bedrooms and upgrades to maximize occupancy levels and sales figures.
Health & Safety
- Comply with the Health and Safety procedures of the Business.
- Inform Line Manager of any improvements required.
Personal Development
- To participate in training, to increase knowledge and develop new skills relevant to the role.
- To attend regular reviews in order to discuss the position and assist in personal development.
- To carry out any other duties as may be reasonably requested by Management.
