The core responsibility of this role is to support YMCA Essex in establishing and achieving its mission by providing strong, effective leadership and high-quality management to the Out of School Team. This includes ensuring operational excellence, fostering a positive team culture, and driving continuous improvement to enhance service delivery.
This role will report to the Childcare Services Manager, but the postholder may also be required to support other Managers and colleagues if/when applicable.

Business
1. To oversee effective leadership and management of all Out of School settings and staff.
2. Be responsible for providing high quality inclusive childcare
3. To ensure the creation of safe, welcoming and inclusive environments for all children to develop and learn through play.
4. To oversee and manage the administration process of the Out of School Clubs, including new applications are processed correctly and entered on to the system.
5. Producing parent/carers invoices, post payments and communication surrounding accounts including managing debts and account credits.
6. To deploy staff and resources effectively, maintaining ratios in multiple settings.
7. To support and develop the Out of School team, assisting with the monitoring of staff performance and ensuring that staff adhere to policies, objectives and the staff code of conduct.
8. Ensure that YMCA Essex childcare settings are delivering a positive learning environment in line with the EYFS that makes efficient and effective use of resources and offers a wide range of learning experiences whilst reflecting diversity.
9. Ensure that staff are fostering partnerships with parents/ carers, actively promoting their involvement in their child's learning and shaping and evaluating the development of the setting.
Compliance
1. Ensure the Out of School settings meet the criteria for OFSTED to secure and sustain OFSTED registration, facilitating inspections and implementing recommendations.
2. To ensure the duties and processes required by Ofsted are in place and that they are regularly reviewed and new processes are being implemented as and when required.
3. Ensure Health and Safety policies are implemented within the Out of School settings and that risk assessments are completed as necessary and ensuring staff are undertaking all appropriate risk assessments for activities, equipment and environment.
4. Motivate and lead staff in delivering best practice and implementing policy and procedures to meet the needs of children and their families.
5. Implement all organisational and department policies ensuring all staff are complying with them, these include safeguarding and equality and diversity.
6. Ensure excellent customer experience is provided, and queries or complaints are dealt with in line with the organisation policy.
7. Ensure that settings are continually developing to ensure high quality, inclusive childcare is provided.
8. To ensure any data kept is done so in conjunction with our data protection policy.
9. Proactively keep up to date with developments in the childcare sector.
Personal
1. To Liaise with the Childcare Services Manager, Head of Youth and Childcare Service, Chief Executive Officer, Board of Trustees, Nursery and Out of School staff, students and volunteers within the YMCA and External Agencies, parents, children and members of the public.
2. To be a professional, dedicated and integral part of the Management Team that supports the Managers, Heads of Departments & C.E.O in running the services that the YMCA Essex offers.
3. To carry out other tasks which may from time to time be required by the Head of Department or Chief Executive.

Other Duties
To undertake any other specific duties and responsibilities as may be assigned by the
immediate Line Manager or anyone else designated by the Head of youth and childcare, as necessary. To work in a flexible way to ensure that the workload is completed and to undertake any other jobs commensurate with the seniority of the post.
Discretion to Act
To exercise discretion in the performance of the duties of the post and to use best practice commensurate with the safety of clients and colleagues, and the effective and efficient use of resources.
Nothing in this is intended to authorise the post-holder to undertake responsibilities that belong properly to trustees and members of the Executive Management Team unless properly authorised to do so by the Chief Executive directly or through an appropriate Manager.
