Job Overview:



We are seeking an experienced and highly organised Operations Manager to oversee the smooth running of our day-to-day workspace operations, to raise standards and to ensure we maintain a quality workspace environments with a high level of customer satisfaction.

Reporting to the managing director, this position will play a critical role in our business success, improving operational performance and supporting our company growth.

This is a management role, working with specialist suppliers and technical providers. We are not looking for an expert in one particular field, more somebody who has the skills to manage a range of operational functions using management techniques. Training will be provided where required.

We have locations in central Woking and Guildford, with more locations planned.

Key Responsibilities:



Own and manage our Fire Safety and general Health & Safety operations. Take ownership of the systems, processes, documents, managing suppliers where needed. Oversee and manage our access control operations and systems. Work with our supplier to make adjustments and upgrades, work with our customer team to support their day-to-day system user needs. Manage our office cleaning operations and team; own the annual budget, manage cleaning personnel, recycling and waste services, procuring cleaning supplies, etc. Manage our customer kitchen operations; ensure smooth running of this essential service, appliance lifecycles, procurement of consumable supplies. Ensure the company is compliant with industry regulations and safety standards. Oversee the management of our Internet services and operations, liaising directly with our IT partner to ensure the system stays robust and customer centric. Manage our inventory of hundreds of desks, chairs and other furniture through their lifecycle. Upgrading older items where necessary and purchasing and assembling new furniture for incoming clients. Manage maintenance and small building projects across our property portfolios including decorating work, air conditioning, minor electrical work, floor and window cleaning. Directly manage our tradesmen and suppliers. Oversee and manage our service charge accounts which we pay to our freeholder landlords. Ensure maintenance activities are carried out as described and charged, generally holding the building management company to account. Review service charge bills and accounts, check for value and correctness as per our lease agreements. Generally, oversee all our daily operations across all departments to ensure efficiency and effectiveness. Develop and implement operational policies and procedures to streamline processes. Monitor and analyse operational performance metrics; prepare reports for senior management. Manage budgets, forecasts, and resource allocation to meet business objectives. Identify areas for business investment, process improvement or cost reduction. Maintain relationships with suppliers, partners, and stakeholders to support operations.

Qualifications:



A Bachelor's degree in Business Administration, Operations Management, or related field. Proven experience (5+ years) in customer-focussed operations, logistics, or project management roles. Strong management, organisational, and problem-solving skills. Excellent communication and interpersonal skills. Ability to multi-task and adapt to a fast-paced, evolving environment. Proficiency in using business software, spreadsheets and analysis tools, Microsoft Office Suite. UK Residency and excellent English language skills. You should be living within an easy commute to Woking & Guildford.
