OPERATIONS and CLIENT ASSISTANT - Fixed Term June-

December




Cave Veterinary Specialists are expanding their team and recruiting for an experienced and driven individual to join them as The Client Care and Operations Assistant. This role is a diverse operational role, with the primary focus of ensuring our clients have a positive experience. In this role you will have the opportunity to enhance your skills in a busy referral veterinary hospital whilst working along side a supportive team.


The individual will need to be enthusiastic and self-motivated with guidance and support from the client care team. You will work within our team to contribute to a positive and effective working environment.


Working in close alignment with the clinical teams this role will provide outstanding levels of service to the wider hospital requirements. The post-holder will also play an invaluable role in supporting, technical aspects of facilities management, health & safety and IT support.


This is a part-time (30h per week) fixed-term contract starting from June until December 2025. The role will require Sunday working with a flexible approach.

Technical support:



Ordering of clinical supplies and medications in line with purchasing policy's Maintenance of stock areas and performing stock audits Coordination of scheduled routine, daily, weekly and quarterly stock checks Updating client team on any changes and updates regarding avalibility of medications and consumables Ensure good processes are in place for quality stock control and Co-ordinate the servicing and maintenance of the hospital's facilities, and medical equipment in-line with manufacture guidance and legal obligations. IT support - supporting the hospital team with request and working with the IT support tema to implement on site actions which cannot be completed remotely.

Facilities support:



Supporting the coordination of the internal & external grounds of the hospital are maintained in a presentable and professional appearance. Reporting of hazards, defects, or damaged equipment or hospital facilities, coordination of contractors to carry out maintenance and repairs. Undertake Inspections on equipment, building fabric and supporting clinical equipment repairs and maintenance scheduling. Undertake inspections on fire safety controls & equipment arranging repairs and maintenance scheduling. Undertake routine inspections on water systems relevant to Legionella safety. Undertake inspection and maintain record first aid equipment and stocking requirements and ordering. Actioning maintenance job requisitions, and scheduling of contractors.

Client Care and administrative support:



Liaising with clients, speaking directly to our clients over the phone and face to face to provide an outstanding client experience Liaising with referring veterinary practices supporting referral process, updating actions and all information is complete for case acceptance outstanding information Supporting the client financial journey, ensuring accurate and timely completion of records and clients are updated as required Updating client and referring veterinary practice data on the Practice management system accurately and timely.
