As our Operations Administrator, you'll be the backbone of our day-to-day logistics and scheduling. You'll support the operations team by coordinating bookings, managing paperwork, liaising with customers, crew and sales, and ensuring everything is in place for seamless service delivery.
Key Responsibilities
Coordinate and schedule removals and storage jobs, assigning crews and vehicles accordingly and completing job cards for the crew
Working with Sales to ensure jobs a correctly manned & costed.
Liaise with customers via phone and email to confirm bookings and answer queries and update on job progress
Prepare and maintain accurate job documentation, Vehicle documentation, inventories, and claims forms
Ensure accurate a complete records are received from crew at the end of a day
Monitor vehicle and equipment availability, ensuring servicing and inspections are up to date
Ensuring inventories are uploaded in a timely manner
Input and update job details in the company's booking system.
Ensure all job sheets are prepared for the next day for crews
Provide administrative support to the Operations and Sales teams as needed
Handle incoming calls and emails, resolving issues or escalating where appropriate
Assist with payroll and timesheet processing for operational staff
Ensure health & safety compliance documentation is maintained and up to date
Maintain clear communication between office staff, drivers, porters, and customers
What We're Looking For
Previous experience in an operations or administrative role (experience in logistics, removals, or storage is a plus)
Strong organizational and time management skills
Excellent written and verbal communication
Confident using Microsoft Office (Word, Excel, Outlook) and CRM/booking systems
Ability to stay calm under pressure and manage multiple tasks simultaneously
A proactive team player with a problem-solving attitude
Knowledge of local area/geography is advantageous
Full UK driving licence (desirable but not essential)
