The post holder will deliver a seamless service for patients who have been referred to the Paediatric service. The post holder will provide expertise in the proactive management and improvement of the patient pathway from referral to discharge, ensuring the entire pathway is managed smoothly and within nationally and locally agreed timeframes.
This is a unique opportunity to join a highly motivated multi-disciplinary team and a cutting edge, evolving service. You will work with, coordinate and support a wider range of clinical and managerial staff to actively manage the patient through the clinical pathway. You will be responsible for facilitating and tracking the patient's progress on their timed pathway.
This role is a combination of administration, clinic organisation, clinical, nursing team and patient support. The role requires excellent organisation, coordination of multiple resources and administrative skills. You will need excellent interpersonal skills - to ensure accurate verbal and written communication with a wide range of healthcare staff both inside and outside of the Trust.
This role will have line management responsibilities for 3 members of administrative staff (3 x Band 4 administrators who oversee the administrative teams), duties to include:
Day to day support and problem solving
Conducting Appraisals
Agreeing and monitoring objectives
Supporting the team with their career progression aspirations
Managing sick leave and absence
Co-ordinating recruitment and succession planning
Managing workflow to meet the needs of the department
Setting standards within the team of professionalism and efficiency

Appropriate NHS experience
Knowledge of hospital Patient Administration System (PAS/TRAK)
Previous experience of dealing with patients' appointments and booking system
Knowledge of medical terminology
Understanding of RTT pathways
Proficient in the use of MS Word, Excel, PowerPoint, Access
Proficient in the use of Internet and E-mail
To be familiar with, and able to work with the Trust Information Systems including Sharepoint software and support continuous improvement contributions from key stakeholder leads
Ability to analyse performance data to identify areas for improvement
Co-ordinate referrals through single point of access via e-RS (Electronic Referral System).
The post holder will be expected to manage capacity within the Paediatric service, bringing patients appointments forward where necessary, flagging up capacity issues, performance target issues and escalate accordingly.
Regular use of clinic systems and keeping an accurate record of clinic data on a daily basis.
Line Management responsibilities for 3 band 4 supervisors including appraisal, training and day to day support
Collection and presentation of information and data to produce management reports as required, using a range of software
Record accurate mandated patient and clinic data, local and national requirement.
To communicate effectively with patients / carers regarding appointments, diagnostic scheduling/appointments and treatment related matters.
The post holder will be responsible for ensuring that patient pathway is managed in a timely manner, within access timeframes, ensuring that patients are booked in to relevant clinics and sessions as appropriate with clinical guidance.
Attendance at key weekly/monthly meetings to include Check & Challenge and wider administrative team meetings
The post holder will be expected to work independently and manage and prioritise their workload, liaising closely with the wider administration and clinical teams within the department
Service review and pathway mapping along with continued development of the timed pathway
