Oncology Business Support & Events Manager

This role is based in our Paddington, London office.

Planning & management of events, including international congresses, within the Oncology Business Unit.

Provide administrative & operational support to the Oncology Country Head and wider OBU.

To support the Oncology Country Head, cost centre owners and Finance department in the tracking and management & reporting of actual and projected spending via company systems.

Key Accountabilities:

  • Manage all areas of events management including dealing with suppliers, internal & external delegates, budgets, payments including honorarium/expenses, contracts and documentation requirements (e.g. SMILE) whilst adhering to time constraints and budget. Events include national & international congresses, advisory boards, internal departmental/brand meetings.
  • Provide administrative support to the Oncology Country Head including diary management, travel arrangements, contracts/docu-sign, PromoMats approvals.
  • Provide administrative support to the wider OBU, including meeting logistics (room booking/hospitality requirements), co-ordination of logistics for external meetings (e.g. advisory boards, national meetings), Management of vendor and Takeda contracts via DocuSign software and in hard copy when necessary, archiving & tracking of contracts and consents/disclosures, travel support, maintenance of OBU email distribution lists.
  • To be OBU ARIBA systems lead. Contracting with external suppliers through company procurement system (ARIBA), raising of purchase orders and ensuring accurate allocation of cost centre spending and actioning payment related processes. To assist cost centre owners in the updating and maintenance of financial trackers.
Key knowledge and/ or experience needed
  • A-level or equivalent, Events management or business related degree desired.
  • Experience of multi-tasking and managing work flows
  • Experience of managing all aspects of events, in particular, logistical and vendor management
  • Well organised and able to work under pressure and meet deadlines.
  • Able to communicate effectively with head office and sales force employees at all levels
  • Experience with procurement and or contract management
  • Excellent interpersonal skills with ability to engage with people from all levels of seniority
