UHA is looking for an ambitious superstar to manage both our London HQ (we have 6 other offices globally) and serve as a PA to our two directors. We run a hybrid office in Waterloo and would love for you to be here in person at least four days a week to run the shop with one day working from home. In addition to overseeing the day-to-day operation of what is a laid back, supportive, international team of architects and designers, you\xe2\x80\x99ll also oversee operation of the building (which we own), including facilities, IT support, staff and corporate events, and crucially provide proactive PA support to the two

\xe2\x97\x8f Contribute to the inspiration and growth of our company
\xe2\x97\x8f Ensure the day-to-day running of the London office including overseeing facilities maintenance (e.g. office and kitchen supplies, equipment, cleaners)
\xe2\x97\x8f Develop and enhance initiatives to minimise our environmental footprint wherever possible
\xe2\x97\x8f Welcome visitors to the office and ensure refreshments are organised for meetings
\xe2\x97\x8f Assist HR Manager with with annual updates of company policies
\xe2\x97\x8f Assist HR Manager to dream up, coordinate and ensure successsful execution of office trips/events, including summer and Christmas parties and gatherings in our event space PA
\xe2\x97\x8f Diary management for our 2 directors (who balance running the company with families and children, so you will be relied on to make sure they know where to be and when!)
\xe2\x97\x8f Scheduling meetings, booking events and coordinating travel for them
\xe2\x97\x8f Remote assistance to the Directors whilst traveling
\xe2\x97\x8f Weekly updating of Directors\xe2\x80\x99 timesheets onto the cloud portal
\xe2\x97\x8f Collating and classifying Directors\xe2\x80\x99 expense receipts to projects, admin, entertainment etc
\xe2\x97\x8f Liaising with the finance team on expected future event costs, travel/flight costs etc
\xe2\x97\x8f Prepare couriers for any transports
\xe2\x97\x8f Obtain timely Directors \' signatures on required documents Key Skills and Attributes \xe2\x97\x8f Kind, friendly, thoughtful, optimistic, smart, creative, welcoming
\xe2\x97\x8f Excellent communication skills (verbal and written) and can make visitors and employees alike feel welcome and comforted
\xe2\x97\x8f Strong MS Office skills, with keen attention to detail, highly organised and able to prioritise
\xe2\x97\x8f Experience managing staff in areas like health and safety and policy documentation. Ability to react with appropriate urgency to situations which require it
\xe2\x97\x8f Discretion in dealing with confidential HR documentation/payroll and benefits information
