Office Administrator - Construction & DFG Projects
Overview
S&J is a specialist construction company working closely with local Councils on Disabled Facilities Grant (DFG) projects. We are seeking a highly organised and detail-oriented Office Administrator to join our growing team. The ideal candidate will play a key role in supporting our office operations, managing project documentation, liaising with subcontractors, and ensuring smooth day-to-day administration. This position requires excellent administrative skills, strong software proficiency, and a proactive attitude to help keep our projects running efficiently.
Responsibilities
Manage daily office operations, including answering calls and responding to client, council, and subcontractor emails with professionalism.
Perform accurate data entry to maintain project records, job tracking sheets, and compliance documentation.
Maintain organised filing systems (both electronic and paper-based) for DFG project files, invoices, and certifications.
Assist with bookkeeping tasks using our accounting software, including raising invoices, inputting expenses, and supporting project cost tracking.
Coordinate staff schedules, site visits, meetings, and subcontractor appointments.
Prepare reports, job schedules, and tender submissions using Microsoft Office and Google Suite applications.
Draft professional correspondence, quotes, and memos for clients, councils, and suppliers.
Support the management team by ensuring documentation for projects is completed on time and to the required standards.
Help maintain a positive, efficient, and well-organised office environment.
Skills and Experience
Experience using our Accounts software for invoicing and basic bookkeeping is preferred.
Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides).
Excellent data entry skills with strong attention to detail.
Highly organised, with the ability to multitask and prioritise work in a busy environment.
Professional phone manner and strong written communication skills.
Previous experience in a construction, trades, or council-based office environment is an advantage but not essential.
Ability to work independently and as part of a small, hardworking team.
