As the Office Administrator, you will join NCCE Ltd.'s efficient administrative function, with a primary purpose of supporting the Senior Administrator. The Office Administrator is responsible for ensuring the smooth and efficient operation of the office by managing administrative tasks, coordinating office activities, and providing support to staff and management as and when required. This role involves maintaining office systems, handling correspondence, organising meetings, and managing supplies. The Office Administrator will also play a crucial role in fostering a productive and organised work environment, contributing to the overall success of the NCCE Ltd.
This role will be cross-functional, where the successful candidate will be required to work across the business to support all areas of business continuity.
Responsibilities and Duties
Providing administrative support;
Being the first point of contact for administrative support.
Manage administrative queries and tasks, assisting the Senior Administrator.
Assisting with data entry and processing on administrative systems.
Maintaining accurate administrative records in compliance with company standards.
Management of central calendar in accordance with events and meetings taking place across NCCE Ltd.
Minute-taking, agenda and document preparation.
Producing high-quality resources for internal and external stakeholders.
Carrying out photocopying, filing, emailing and completion of routine forms.
Printing and duplicating of a wide variety of documentation.
Distributing letters and other circulars to relevant stakeholders.
Providing logistical support to areas of the business as and when required.
Liaise with colleagues across a variety of teams throughout NCCE.
Other general administrative duties as determined by business needs.
PA Duties / Diary Management for General Manager / Chief Executive
Diary Management: Scheduling and managing appointments, meetings and travel arrangements.
Meeting Support: Preparing agendas and following up on actions on behalf of General Manager.
Communications: Managing correspondence, email and phone calls, to include filtering information and ensuring timely responses.
Confidentiality: Handling sensitive information with discretion and upholding confidentiality.
Reception duties:
Warm Welcome: Greeting all visitors and ensure they are signed in, with appropriate contact made to internal staff of arrival.
Bookings: Overseeing the room-bookings, setting up diary invites and managing email communications.
Coordinating (1): Gathering dietary requirements for internal catered meetings.
Coordinating (2): Setting up the meeting space by ensuring sufficient stationary is available and table layout is appropriate.
Other (1): Answering the enquiries line and directing calls as appropriate.
Other (2): Managing the reception area to ensure it is tidy and welcoming.
Other duties:
Any other tasks as deemed by the Senior Administrator(s), Financial Controller or CEO/General Manager.

Relevant qualification in business administration or a related field is preferred.
Previous administrative experience is advantageous, but not essential.
Experience of using an administrative system or database is advantageous, but not essential.
Experience working as part of a busy team.
Understanding of the requirements of GDPR, confidentiality of records, documents and information.
Ability to develop solutions to customer requirements.
Personal qualities
A sense of urgency and accuracy when undertaking tasks and responding to queries, even when under pressure.
Having a can-do attitude.
Good team player and to have a proactive approach to all tasks.
