Droitwich Spa and Rural Council for Voluntary Service is an independent charity dedicated to supporting, promoting, and developing community and voluntary action in the Droitwich Spa area. Our community hub offers various resources, including rooms for hire, community transport services, and a volunteering hub.

Summary



We are seeking an Office Administrator to join our team at Droitwich CVS. This role is vital in ensuring the smooth operation of our office and supporting our community initiatives. The ideal candidate will be organized, detail-oriented, and passionate about making a difference in the community.

Responsibilities



Day to day administrative duties to help the team deliver services and ensure the smooth running of our community hubs.

Holiday and sickness cover for the Services Coordinator who manages our Community Transport service and community hubs.

Greeting visitors to the building, answering queries, signposting to relevant services, information sharing and taking bookings.

Records processing, data entry and spreadsheet input across all services.

Events and fundraising - to support the planning and running of events including administration support.

To contribute to the effective and timely marketing of the charity and its services including website updates, social media posts and developing leaflets and posters, ensuring all are on brand.

General:



Provide support and take an active role in working towards the wider aims and objectives of the organisation and the development of new services.

Undertake professional development/training to meet developing requirements and to maintain necessary skills and knowledge to carry out the duties as specified.

Flexible hours will be necessary to allow for occasional evening or weekend meetings and to cover for staff and volunteer absence.

To undertake any other agreed duties deemed appropriate by the Chief Officer and/or the Board of Trustees.

Person Specification



Education

Educated to GCSE level or equivalent by experience.
Experience

Experience of at least two years working in office administration. Experience of coordinating and liaising with volunteers. Experience of working with voluntary and community groups Experience of working with older, disabled or vulnerable people.
Knowledge/ Technical Skills

Proficient in Microsoft Office 365. Sound working knowledge of scheduling and updating databases. Knowledge of good practice in working with volunteers. Knowledge and understanding of Data Protection (GDPR) and Safeguarding policies and procedures.
Competencies

Excellent interpersonal and communication skills. Ability to work as part of a small team and cover for other team members. Ability to work accurately and to deadlines. Ability to deal with queries in a diplomatic, professional and confidential manner. Ability to manage and prioritise a varied workload.

Special Circumstances

Able to work occasional unsociable hours as and when required. Willingness and ability to drive our vehicles and transport clients if or when required. Commitment to the voluntary sector. All staff and volunteers are required to complete a DBS check.
