We are seeking an experienced and motivated Head of Administration to join our ever-growing Mortgage Team
This pivotal role is ideal for a professional with a strong background in mortgage administration, coupled with proven experience as a supervisor. As the Head of Administration, you will oversee and enhance our administrative operations and help recruit a team of professionals to ensure the seamless support of our mortgage advisors and the delivery of exceptional service to our clients.
Head of Administration Requirements:
Handle queries from Mortgage Advisors / Property Perspective and Managing Director.
Assistant with the development of the CRM system
Assist in on going adjustments with FCA requirements
Build robust Compliance procedures alongside SLT team
Manage HR administration
Build new systems and embrace AI to help improve productivity
Additional duties in busier periods, including producing marketing materials to send externally to referrers
Assisting with keying mortgages up until submission of the application
Allocating referrals to Mortgage Advisors and liaising with developers and estate agents
Providing weekly and monthly updates MI Reports to SLT and MD
Assisting the Managing Directors with ad-hoc duties when required
First point of contact for answering the phone.
Keying mortgage applications into the different lenders online systems - This in the main, will be Residential New Build mortgage cases.
Providing administrative support to the Mortgage Advisors.
Managing the client service experience through to completion - speaking to the clients, lenders and solicitors to ensure smooth progress of the application
Detailing all conversations and actions taken in the CRM System.
Develop a relationship with Property Perspective to promote collaborative working.
Gathering original documents from clients, as required by the lenders
Uploading documents onto the system within the required compliance timescales
Scanning file documents onto the system and being responsible for ensuring the final file meets the required compliance standards
Ensuring all work meets the required FCA compliance standards
Contacting existing clients to review their circumstances and products
Assisting the team with any other duties, as reasonably requested
Experience:
Previous Mortgage Administration experience is essential.
Previous experience managing/supervising a team.
Excellent English written skills and telephone manner, must have experience in dealing with all types of clients from diverse backgrounds
Must demonstrate technical ability and be confident with mortgage terminology
Must be able to demonstrate initiative and ability to time manage and prioritise cases through to completion
Desire to progress in a professional and growing business
Good administrative and organisational skills.
A good level of numeracy.
Excellent MS Office skills - Word, Excel, and Outlook.
Effective time management with the ability to plan and manage priorities and weekly deadlines.
Ability to self-manage competing work demands.
Strong team player able to work effectively with all departments, colleagues and clients.
Ability to provide a positive and professional service to clients and colleagues.

What we offer:
Salary: c45,000
Monday to Friday - Office based: 9.00 am - 5.30 pm (5pm finish on a Friday)
