Job profile
A Japanese global trading company is looking for Middle Office and Trade Assistant.
Duties and Responsibilities include:
The role will focus on tasks relating to Middle Office processes, our commodity business (cocoa, cocoa products, sugar and dairy products) and other administrative tasks.
For Middle Office Tasks (only Cocoa and Sugar)
Ensuring all future trades done in line with regulations and registered them in their internal system
Monitoring physical balance of commodities and issue daily and weekly reports.
Ensuring FX booking is done in line with internal regulations and confirm internal registration.
Ensuring all data is registered in their internal system correctly.
Issuing contract sheets and handle them.
Other ad hoc jobs such as to handle their internal system related enquiries from other colleagues and their internal system related problems with the system support desk.
For Commodity Trading Assistant Tasks (Cocoa, Sugar and Dairy Products)
Handling shipments including communicating supplier/customer, checking shipping documents, arranging remittance, issuing invoices in SAP
Managing Credit limit including clearing payments in our system and issuing a daily report etc.
Other ad hoc jobs related to physical shipments.
Handling monthly expense settlements
Handling enquiries from internal/external audit.
Handling administrative jobs related to future positions such as settling margin money, reconciliation, liquidation, and P&L settlement etc.
Handling administrative jobs related to FX including submitting a designation form.
Conducting monthly checks on deposit/loans/FX etc.
Issuing purchase and sales contracts for Dairy products.
Data entry into their internal system (Commodity Data Management System)
Submission of customer and vendor registrations via the SAP system.
For Other Administrative Tasks
Preparation and processing of accounting documents such as debit notes, credit notes, booking forms and payment requests in a timely and accurate manner.
Other ad hoc administrative jobs for the Food Group as required
Hotel booking for visitors related to the division
Expense payment arrangements for the division and Middle Office
Skills and Experience:
Good Excel and IT skills
Accurate and proven numerical skills
*Trading knowledge and SAP experience desirable for the position
Good time and task management with the ability to work to tight deadlines
Systematic attitude to work and processes
Excellent accuracy and attention to detail
Excellent customer service skills

Hours
35 hours per week
7 hours per day between 08.00 to 17.00 Monday to Friday with one hour for lunch
(This role will require overtime of up to around 20 hours per month usually from the end of month to the beginning of following month)
