Job Title: Medical Secretary



Reports To: Practice Manager/Patient Services Lead



Hours: 17 hours per week



Pay: 12.75 per hour



Job summary:



To provide general secretarial support to the practice clinicians including management of the online referral process. To provide support to the practice management team as required.

Job responsibilities:



Providing administrative support for patient referrals. Typing referral letters to other agencies and forwarding the referral in the appropriate manner. Maintain referral and monitoring systems such a C-the-Signs and ERS. Support with the introduction of new ways of working and new technologies. To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others and dealing with appropriate queries. To support the overall patient services team during periods of sickness and annual leave to ensure safe patient care. Provide support to Practice Management team with administrative and project work as required. Supporting the practice in collection and reporting of data for all enhanced and quality services as required. Summarising paper notes and clinical documents using coding in electronic records as appropriate. Supporting with recall systems as required. Support with the preparation of the monthly clinical meeting agenda as needed. Typing of minutes, updating protocols and processes and maintaining significant event summaries as needed.

Competencies



Good knowledge of Microsoft systems and confident in working with IT. Awareness of data protection and the importance of this in day-to-day work. Good verbal and written communication skills Ability to solve problems efficiently Flexible approach, team player, good sense of humour

The post-holder will assist in promoting and maintaining their own and others' health, safety and security as defined in the practice Health & Safety policy, the practice Health & Safety manual, and the practice Infection Control policy and published procedures. This will include:

Using personal security systems within the workplace according to practice guidelines Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks Making effective use of training to update knowledge and skills Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards Actively reporting of health and safety hazards and infection hazards immediately when recognised Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder's role Undertaking periodic infection control training (minimum annually) Reporting potential risks identified

Medical Secretary - Part Time - 17 hours per week

Proposed hours - Monday, Wednesday, Friday

Walford Mill Medical Centre in Wimborne is looking for a Medical Secretary to join our team. We are a forward-thinking Practice who work closely with our Primary Care Network to develop and shape services. Our Secretarial Team process onwards referrals and support the management of electronic systems, audit, document management and general support for our clinicians and management team. They ensure all processes are embedded and standards maintained.

This is a varied role which includes administrative support to our clinical team, patient interaction, data management and general practice administration. The successful applicant will be adaptable in the modern world of primary care, an excellent multitasker, have good customer service skills and good IT skills. Flexibility to cover holidays and sickness is essential. Experience in this type of role is preferable however, we will be happy to provide full training to the right applicant. Car parking is available on site, 5 weeks annual leave plus bank holidays and access to the NHS pension scheme available.

We are a small supportive and caring team with a shared purpose to maintain a high standard of care to our patients and our staff.
