We are seeking to appoint: Maths & English administrator
Provide administrative and secretarial support within English and Maths and ensure the administration and maintenance of computerised and manual systems are maintained.
Liaise with Faculty Administration Managers in the smooth and effective running of English and Maths delivery when necessary
Key
Accountabilities and Responsibilities
1. To provide secretarial and administrative support to the Director of English and Maths and Heads of School
2. To maintain the diary and schedules of appointments for the Director and Heads of School where required. This is to include the maintenance of the overall directorate meeting schedule.
3. To support the Director and Heads of School with the effective provision of faculty information to SLT, MIS and other areas within the college as required.
4. To support the Director and Heads of School with college data functions relating to the Directorate to include, but not restricted to, timetabling, register amendments and the validation of the information recorded. To liaise with external and internal customers and suppliers and outside agencies.
5. To maintain administrative, financial and technical records as required
6. To prepare documents as required using Microsoft Word, Excel, Power Point, and Access applications and databases.
7. To take minutes when necessary and to attend meetings as required by management.
8. To assist with the organisation of and support with open day/evenings, learner voice conferences/meetings and student award ceremonies.
9. To raise purchase requisitions, maintain financial records of invoice and expenditure across the Directorate for each school as required. Ordering, storing and distributing resources.
10. To maintain confidential /personal filing systems as required.
11. Monitor action points from meetings requiring attention by teaching staff and ensure these are followed up and actioned where appropriate.
12. To assist with general queries and the reception of students, staff and visitors to the Directorate. 13. To ensure deadlines are met in accordance with agreed action plans and instructions.
14. To check data and disseminate information to Directorate staff as required.
15. To deal with incoming/outgoing post, internal and external.
Other Duties and Responsibilities
a) Comply with internal and external quality standards and contribute to the College's strategic aims.
b) Comply with college policies and procedures and health and safety regulations.
c) Support the safeguarding and promotion of students' welfare.
d) Maintain confidentiality in relation to all College information and to comply with Data Protection Legislation.
e) Participate in the College's Appraisal scheme and undertake any training as required.
f) Support and actively participate in the implementation of the College's Equal Opportunity policies
