Job Description

Experienced PA/medical secretary required for a consultant psychiatrist and psychotherapy practice to cover annual leave, 5-6 weeks a year.

Hours 30-40 hours per week Locum cover, when required. No guaranteed hours. Bank staff position.

Start Date Training will begin in June 2025, with first 2 weeks cover required July 14-28 (inclusive) 2025.

Context



This busy private practice requires high quality secretarial and administrative assistance. You will be working for a consultant psychiatrist and a counselling psychologist (the directors). As national specialists in their field, they engage in teaching and research as well as clinical work.

The practices use Semble and WriteUpp medical software. Training in these will be provided if required, but experience of these systems is a definite advantage. A PC and landline telephone will be required to carry out the role.

Responsibilities and duties



The employee will report to each director for defined activities. The directors will agree the appropriate split of the postholder's time between activities and deal with any conflicts of priority.

Schedule multiple diaries and coordinate outpatient appointments to optimise client satisfaction and facilitate efficiency

Liaise with and prepare paperwork for a private psychiatric hospital in London regarding admissions to specialist inpatient wards

Manage email and phone queries timeously and efficiently

Register clients and update personal and financial information in Semble and WriteUpp

Prepare and dispatch clinical letters and correspondence

Liaise with financial manager, providing timely information when requested

Maintain total confidentiality of personal and financial data

Experience Requirements



Relevant work as a medical secretary, ideally within a private psychiatric or psychotherapy clinic or hospital.

Customer Service experience; excellent service standards and interpersonal skills.

Experience of using Microsoft Packages, including Word, Excel, Teams, Outlook and any related software

Mental Health First Aid qualification is desirable.

Pay: 16.00-20.00 per hour

Expected hours: 30 - 40 per week
