In conjunction with all other staff to provide clients with a high quality service that caters for all their needs.
To specialise in typing and clerical skills in dealing with matters within the Private Client Department.
To constantly improve perceptions of the firm and the services provided in dealing with clients.
Provide support to Fee Earners as to typing and clerical functions.
TYPING and Typing associated work:
Carry out all Fee Earners typing requirements i.e. letters, memorandums, forms, documents, statements, other accounts and change of data.
Keeping computerised diary updated of appointments & key dates.
Filing documents as required.
Locating old files as required, updating records as to movement of such documents.
Prepare any other administrative function connected with the Position.
Support and provide input to plans for future development through participation at staff meetings, job consultation and the like.
Support initiatives launched by the Company.
Assist in maintaining high standards of service to ensure that clients will use and recommend the Practice again in the future.
RECEPTION:
Dealing with clients and visitors to the Reception and attending to care and comforts of those waiting.
Answer all incoming telephone calls and assist callers, taking messages where appropriate and delivering messages to fee earners.
Making appointments to see Fee Earners as necessary.
Establish and maintain rapport with all clients to ensure that they will continue to use and recommend the services of Swayne Johnson Solicitors.
OTHER WORK:
Dealing with any typing required for others in the absence of any of the Secretaries or in support of any other Secretary.
Provide relief for Post Room work in accordance with the any rota/local arrangements when required.
Be a witness to signature on documents when required.
Be fully conversant with all policies in place and issued from time to time by or on behalf of the Directors.
Ensure compliance with all Health & Safety requirements as detailed in the Health & Safety Policy.
Be fully aware and comply with all instructions and procedures in the Practice Manual and the Staff Handbook.
Fully comply with any additional instructions issued from time to time by or on behalf of any or all of the Directors.
To positively respond to any training/development requirements.
Attend to other requirements by or on behalf of any of the Directors in connection with duties as a Legal Secretary/Receptionist, even if this may result in changing aspects of the .
