We are seeking a dedicated and detail-oriented Legal Secretary to join the team in our Property Department at our Ripon office. The ideal candidate will possess strong administrative skills and be proficient in various software applications. This role is essential in ensuring the smooth operation of our office, providing support to legal professionals, and maintaining effective communication within the team and with clients.
Responsibilities
Provide comprehensive administrative support to lawyers and legal staff.
Prepare, format, and proofread Land Registry forms, Law Society forms, other legal documents, correspondence, and reports.
Set up new files and close completed files.
Request searches.
Work effectively on our case management system to progress matters.
Manage calendars, schedule appointments, and coordinate meetings using Outlook.
Maintain accurate filing systems for both electronic and paper documents.
Conduct audio typing for dictations and transcriptions as required.
Assist in managing case files and ensure all documentation is up to date.
Communicate effectively with clients and other stakeholders.
Utilise Microsoft Word, Excel, and other IT tools to enhance office productivity.
Handle incoming calls and correspondence in a professional manner.
Demonstrate excellent time management skills to prioritise tasks effectively.
Assist with cover on Reception as and when required.
Qualifications
Proven experience as a Legal Secretary or in a similar administrative role within a legal environment is preferred.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) with strong IT skills.
Preferred previous experience with a case management system.
Excellent audio typing skills are highly desirable.
Strong organisational skills with the ability to manage multiple tasks simultaneously.
Exceptional communication skills, both written and verbal.
Must really enjoy liaising with clients and estate agents to ensure that matters are progressed swiftly and accurately.
Ability to work independently as well as part of a team.
A keen eye for detail with a commitment to accuracy in all tasks undertaken.
