Responsible to: International Project Officer

Location: Cardiff / Hybrid

The Team: This role sits within our Global Wales team. Global Wales III is an international education programme led by Universities Wales. It is funded by Welsh Government through Taith.

Global Wales aims to boost Wales\' profile as a study destination and partner of choice through presenting a joined-up view of its tertiary education system across four priority markets: Europe, North America, India and Vietnam. In doing so the project contributes to the overall objectives of: i) growing student numbers; ii) increasing international partnerships; iii) growing education exports; and iv) boosting Wales\' profile in key overseas markets.

Main responsibilities

1. Supporting the Global Wales team, across the portfolio of agreed activities and projects outlined in the Global Wales 3 Operational Plan to deliver successful events and delegations, in Canada, Europe, India and Vietnam specifically: * Taking the lead with organising the annual Guidance Counsellor/Advisor tour for Europe, including managing the application process and associated comms with selected participants, liaising with university colleagues to agree visit programmes, arranging the stakeholder reception, making and confirming travel, accommodation and catering bookings and in person support during the weeklong tour.

  • managing arrangements for Study in Wales presence at international education conferences, including, arranging travel and accommodation, organising associated Study in Wales receptions and stakeholder events, liaison with relevant/ participating university colleagues
  • Assisting the team with arrangements for international market development travel and visits, including arranging meeting venues, travel bookings, circulating visit information/itineraries
2. Representing Global Wales/Study in Wales at domestic and occasionally international events/conferences and supporting senior colleagues with preparations to host inward delegations of stakeholders (such as senior university staff and government officials). This may include support to Welsh Government colleagues managing VIP visits and other high-level activities.

3. Assisting the International Project Officer with daily monitoring and evaluation of all event activities across Global Wales 3 programme i.e. management of the events calendar, co-ordinating event feedback and reporting, and maintaining activity reporting documents, with specific responsibility for activities relating to Canada, Europe, India and Vietnam.

4. Additional general administration to include:
  • Management of shared Global Wales/Study in Wales calendars and email inboxes, to ensure enquires are dealt with promptly and any issues are escalated to colleagues accordingly.
  • Maintenance of international contact lists and purchased stakeholder/network databases.
  • Assisting Global Wales colleagues with arrangements for subgroup meetings, to include scheduling and booking meetings, preparing meeting papers and presentations, and taking notes / minutes and capturing actions where required.
  • Supporting Global Wales colleagues with logistical arrangements concerning overseas and domestic travel e.g., booking of travel and accommodation.
  • Working with Global Wales colleagues on event administration, including venue hire, catering, IT, programme logistics and any other requirements as necessary.
5. Any other duties that may be required from time to time by other delivery partners in relation to the Global Wales programme.

Essential/Desirable

QUALIFICATIONS AND TRAINING

A. PROFESSIONAL BACKGROUND AND EXPERIENCE

Essential - Educated to A-level or equivalent, with demonstrable commitment to in-work training - Application

Essential - At least one year of work experience in a relevant area, including as wide as possible a range of the functions outlined above - Application

Desirable - Experience in working in an organisation or institution within or related to the higher or further education sector. - Application

B. SKILLS AND APTITUDES REQUIRED

Essential - Excellent numeracy and IT skills - specifically competence with Microsoft Office (Outlook, TEAMS, Word, Excel, PowerPoint), with strong attention to detail - Application/Interview
