Information Governance Officer

Location: Cambridge

Proposed start date: ASAP

Duration: This is a temporary role expected to last up to 3 months

Pay Rates:

\xc2\xa312.00-\xc2\xa315.00 paye per hour

\xc2\xa313.00-\xc2\xa316.00 paye inclusive of holiday pay per hour

\xc2\xa314.00-\xc2\xa317.00 umbrella per hour

Depending on skill and experience

Band: 5
Working Days and Hours: 37.5 hours a week, Monday to Friday, 9am to 5pm or 8am to 4pm

Remote working option: Hybrid remote, working in the office 1 -2 days a week to be agreed with the client. The first 2 weeks would be office based for training.

Systems: The successful candidate needs to be competent using Excel

Job Summary

  • To proactively support the Information Governance (IG) Manager with the development and management of the Trust\xe2\x80\x99s IG framework and annual work programmes, including implementation of the General Data Protection Regulation and data protection legislation, promoting awareness and best practice in all aspects of IG for the efficient management and effective use of information and knowledge assets, in line with legal requirements and NHS initiatives.
  • To develop and monitor the performance of improvement plans against the external and internal regulators, including the Data Security & Protection Toolkit and Care Quality Commission (CQC) and provide assistance with the completion of submissions and evidencing on-going compliance.
  • To produce management reports and analysis across the functions of the team
  • To support the mobilisation of new services/systems to ensure all activities are confidential, secure and comply with IG requirements.
  • To provide IG training, support and advice to staff as required.
  • To maintain an awareness of all aspects of legislation, national guidance and policy relating to IG and Corporate Governance.
Duties
  • Contribute to the development of Trust-wide IG strategies, policies procedures and guidance to promote \xe2\x80\x9cbest practice\xe2\x80\x9d and consistency across the Trust.
  • Encourage, promote, and motivate staff to engage in IG, providing the appropriate support to staff to maintain and improve organisational performance
  • Manage the processes for handling Freedom of Information, Environmental Information Regulations and Access to Records Requests and report performance to the IG Manager and IG Steering Group.
  • Maintain a record of the Trust\xe2\x80\x99s information systems, undertaking regular audits and security reviews to ensure the systems are kept secure with appropriate access controls and responding to security-related incident(s) appropriately.
  • Work proactively with the owners of the Trust\xe2\x80\x99s information systems to ensure that the Trust\xe2\x80\x99s Information Asset Register is maintained, risk-assessed and up-to-date and that all owners and administrators are appropriately briefed, trained, and supported in their roles.
  • Maintain the Trust\xe2\x80\x99s information flow maps between the Trust and its partner organisations \xe2\x80\x93 providing advice and guidance where necessary. Undertake risk assessments of all information flows to ensure they do not contravene Trust policies and procedures (and therefore national guidance/legislation).
  • Provide support in developing information sharing agreements for information flows between the Trust and its partner organisations.
  • Work collaboratively with colleagues to identify any new working practices required to deliver a secure and confidential organisation, including supporting the completion of Privacy Impact Assessments where necessary
  • Act as the first point of contact for any IG incidents, ensuring they are recorded in line with Trust policies, and appropriate actions are taken as quickly as possible, lessons are learned and, where necessary, incidents are escalated.
  • Drafting documents and reports including policies, annual reports, and papers to relevant committees
  • Assist in investigating any breaches of IG, including reviewing audit trails, manually checking individual\xe2\x80\x99s accounts, interviewing staff, and producing system reports regarding activity, etc.
  • Plan, implement and manage specific projects to ensure targets are met.
  • Assist with the production of literature in line with the IG communications plans to raise awareness with both the Trust\xe2\x80\x99s staff and its service users, carers, and partner organisations. This may include the development and maintenance of Intranet and Internet sites, leaflets, posters, articles, etc.
  • Attend relevant meetings, seminars, and conferences as necessary.
  • Deputise for other members of the IG Team as and when required.
Qualification, Skills and Experience
  • Educated to degree level (or relevant experience)
  • Evidence of Continuing Professional Development
  • Considerable experience of implementing monitoring, and reporting processes for statutory purposes within a multi-disciplinary service.
  • Developing trusting and supportive relationships with wide range of professionals and staff across internal and external organisation.
  • Working with senior managers, clinical and professional staff.
  • Experience of minuting meetings at all levels.
  • Exceptional organisational and administrative skills.
  • Advanced word processing skills.
  • Advanced knowledge of Microsoft Office Software / Outlook / PowerPoint and Excel.
  • Good oral and written communication skills.
  • Self-motivator and able to work autonomously or as part of a team.
  • Able to work with high degree of flexibility.
  • Ability to travel across the Trust area.
  • Confident nature with a proactive and constructive approach.
  • Able to exercise discretion, high levels of initiative and independent decision making to ensure appropriate planning and organise the work of the team.
  • Problem solving, analysis and judgment.
  • A general understanding of the NHS and the way it works.
  • Able to interpret legislative frameworks and guidance.
