We are looking for a skilled and proactive HR Administrator to join our team at the head office on a 1-year full-time, maternity cover basis.
Your role would be to oversee the Human Resources function within the organisation, ensuring compliance with the Supported Accommodation (England) Regulations 2023 and the organisation's Recruitment and Selection Policy.
Please note that while this role is initially for maternity cover, there may be the potential for the contract to be extended or for you to be considered for a permanent position with our company, depending on business needs and performance. If the business requires additional support following the return of the permanent employee, we may consider you for an ongoing role, with both your interests and business needs taken into account.
In this role, you will be instrumental in creating a positive and supportive work environment, ensuring legal compliance, and driving staff development and well-being. You will work closely with our leadership team to ensure the best possible service for our young people and a strong, motivated workforce. At 1st Choice Housing Solutions, there is an integral need for all employees to be flexible in response to situations that arise outside of this job description.
Responsibilities
As a HR Administrator, your main duties may include but are not limited to:
Lead the recruitment process in line with the organisation's Recruitment and Selection Policy and the Supported Accommodation Regulations 2023.
Ensure all recruitment practices adhere to the Equality Act 2010 and promote diversity and inclusion.
Oversee the creation and review of employment contracts, job descriptions and person specifications, application packs and interview questions
Manage the advertising of vacancies through appropriate channels, including social media and recruitment platforms, to attract a diverse pool of candidates.
Conduct shortlisting and selection processes, ensuring transparency and fairness, and involving senior staff in decision-making.
Ensure all candidates complete self-disclosure forms and undergo enhanced Disclosure and Barring Service (DBS) checks, in line with safer recruitment procedures.
Conduct face-to-face interviews for roles involving direct work with young people, using structured questions to assess candidates' suitability, including their ability to maintain professional boundaries and safeguard young people.
Verify references and employment history, ensuring all checks are completed before an offer of employment is made.
Maintain accurate records of the recruitment process, including application forms, interview notes, and vetting checks, in compliance with data protection regulations.
Providing ongoing training for staff to ensure they have the necessary skills and knowledge to provide person-centred support
Maintaining confidentiality: ensuring that all personal, financial, and professional data is securely handled and only shared with authorised individuals when necessary.
Overseeing performance appraisals and offering feedback to staff.
Handle employee relations issues, including grievances, disciplinary matters, and absence management, in line with organisational policies and employment law.
Ensure all staff receive regular supervision and appraisals, providing opportunities for reflection and professional growth.
Managing absences including sick leave, annual leave, maternity/paternity leave and promoting work-life balance.
Managing employee compensation and benefits to ensure that benefits packages are competitive and align with industry standards.
Manage probationary periods, providing support and feedback to new employees to ensure they meet the required standards.
Implementing strategies to retain talented staff and reduce turnover, such as offering career progression, fostering a positive organisational culture, and ensuring that staff feel supported in their roles.
Ensure all staff are aware of and comply with the organisation's safeguarding policies, including the Safeguarding Policy, Missing Child Policy, and Behaviour Management Policy.
Assist the office with any additional administrative needs as required, this can include but is not limited to general office management, scheduling and co-ordination, billing and financial support.
What we're looking for from you:
As a HR Administrator, it is important that you have:
Degree or equivalent qualification in Human Resources, Business Administration, or a related field.
CIPD (Chartered Institute of Personnel and Development) qualification or equivalent experience, or working towards this.
Proven experience in HR Administrator, including recruitment, employee relations, and workforce planning.
Experience with safer recruitment practices, particularly in roles involving work with vulnerable groups.
Ability to manage multiple tasks and prioritise effectively in a fast-paced environment.
Strong attention to detail and the ability to maintain accurate records
Experience working in the social care or supported accommodation sector.
As a HR Administrator, it is desirable that you have:
Knowledge of the Supported Accommodation (England) Regulations 2023 and Safeguarding requirements.
Knowledge of the Disclosure and Barring Service (DBS) update service.
Experience in managing temporary or agency staff.
