The Role:



The Hire Coordinator - SMB operates within the Darwin Group Single Modular Building (SMB) team and collaborates closely with Portakabin teams. This role serves as the central point of contact for healthcare customers under contract with our buildings and services, in partnership with the SMB sales team.

The Hire Coordinator - SMB plays a crucial role in supporting SMB hire projects by providing essential aftersales support, invoicing or contract assistance, and rectifications to ensure customer satisfaction and retention. This office-based role is responsible for ensuring all administrative processes are appropriately coordinated in line with company procedures for SMB opportunities and contracts within the healthcare business.

Coordination activities related to hire opportunities and contracts vary according to client type (NHS or non-NHS) and the building's complexity (clinical or non-clinical). The Hire Coordinator - SMB also handles SMB sale/purchase administration.

Additionally, the Hire Coordinator - SMB liaises with customers when it is no longer appropriate for a member of the sales team to be involved, as well as with other group-wide personnel.

The ultimate measure of success for this role is increasing opportunity conversions from budget to quote to order, maximising coordination efficiency, and ensuring customer retention through effective aftersales support.

What we're looking for - roles and responsibilities



Provide day-to-day support to the SMB sales team to ensure the quick completion and aftersales of customer projects/contracts.

Collaborate with the SMB sales team to generate SAP quotes for final presentation and proposal to clients.

Process orders and update purchase orders for all closed won opportunities.

Coordinate the preparation of aftersales support materials and documentation according to customer requirements.

Liaise with relevant operational teams regarding groundworks, service team visits, building allocations, refurbishment, fitting out, deliveries, rectifications, and reinstatements.

Respond to customer enquiries promptly and resolve any issues to ensure maximum satisfaction, including rate reductions, contract extensions, takeovers, and asset sale processing.

Complete the customer care programme to ensure maximum satisfaction, continuity of business, and maximise referral opportunities.

Use internal systems (e.g., SAP, CRM) effectively to keep customer information up to date and ensure system alignment.

Support with the delivery of sale/purchasing projects if the hire approach is not an option for the customer.

Expedite the resolution of any aftersales issues in line with company guidelines and procedures.

In the event of annual leave or sickness within the hire coordination team, you will be required to support coordination activities with the modular team. This responsibility also applies to the Hire Coordinator - Modular role when annual leave or sickness affects the SMB coordination team.

Experience required:



The Hire Coordinator - SMB should thrive in a collaborative team environment, actively supporting colleagues to excel in their tasks and finding fulfilment in achieving targets and KPIs.

With a strong background in providing exceptional customer service support, the coordinator is responsible for managing the preparation of final quotations within SAP for the SMB sales team, overseeing post-contract processes, and handling customer interactions with precision. This ensures accuracy and completeness in all administrative tasks.

Experience with SAP systems is preferred but not required.
