We are seeking a detail-oriented and proactive Finance & Administration Officer to join our team. The successful candidate will play a crucial role in supporting the daily operations of the charity, ensuring that administrative processes run smoothly and efficiently. This position requires strong organisational skills, attention to detail, and proficiency in various accounting software. The Finance & Administration Officer will be responsible for managing data entry tasks, overseeing accounts payable, and providing support for financial services.
Responsibilities
FINANCE
Implement financial policies and procedures, completing these in a timely manner and ensuring that budgets are managed effectively
Check, process and record all invoices for payment and expenses claims received
Perform bank reconciliations and investigate and resolve any reconciling items on a timely basis
Reconcile all balance sheet accounts on a monthly basis and resolve any anomalies.
Support the review of budgets and expenditure as necessary with CEO and prepare monthly reports and other data as required.
Provide information relating to income statements and balance sheets as required. Support the annual audit in association with the trust's firm of accountants
Maintain proper records for all the above on payroll and finance systems.
Support in the analysis of data and creation of reports and information to CEO, Trustees and auditor as required.
Verify and code timesheets and hours worked
Input all data required to complete monthly payroll
GENERAL ADMINISTRATION
To monitor and respond to visitor enquiries via email and phone, redirecting to relevant departments where required.
To receive and check deliveries, distributing where required
Welcoming out of hours visitors via the intercom system
Complete weekly stationery orders
To communicate monthly with the village and residents, updating on upcoming events and how these affect operations and access
Monitor the operation of office equipment, call for repairs, maintain supplies and evaluate cost effectiveness
Complete additional administrative duties as required
Experience
:
Essential:
Accounting/book-keeping and financial administration
Administration
Data recording and monitoring - preferably experience with electronic data recording systems
KNOWLEDGE, SKILLS AND ABILITIES
Essential:
Excellent communication skills - both verbal and written
Demonstrably numerate
Proficiency in working with Microsoft packages, including Outlook, Word and Excel.
Experience of using financial accounting and payroll systems (Sage)
Accuracy in processing detailed financial information
Ability to work as part of a team, as well as on own initiative
Ability to communicate effectively with colleagues and professionals alike
Confidence in liaising with external organisations
Ability to work under pressure, plan and prioritise own workload, manage competing tasks and meet deadlines.
