Are you organised, friendly, and looking for a new role in office administration? We're looking for a proactive, professional, organised, and customer-focused Facilities Office Administrator to join our growing team. This is a fantastic opportunity to be part of our expansion, as we work to enhance our service delivery and increase the level of support provided to stakeholders across our site.



In this role, you will provide essential administrative support to our facilities supervisors and schedulers, ensuring the smooth operation of front-desk activities and contributing to the maintenance of a safe, efficient workplace environment. Responsibilities will include handling daily administrative tasks and providing cover for team members during leave. You will also serve as the welcoming face of the business by managing the front desk and greeting contractors and visitors as they arrive at the office.



Key duties include assisting facilities supervisors and schedulers with data entry, record-keeping, report preparation, and filing. You will manage calendars, coordinate appointments, and provide administrative cover for the grounds team during peak periods or staff absences. Front desk responsibilities involve greeting and signing in contractors, visitors, and staff; answering phone calls; handling enquiries; and directing people as needed. You'll also ensure that site security protocols are followed, maintain visitor logs, issue badges, and support compliance with health and safety procedures.



As part of office coordination, you will manage supplies, process purchase orders, liaise with vendors for maintenance and repairs, and assist with meeting arrangements, document preparation, and general office organisation. Communication will be a key part of your role, as you act as a liaison between the facilities team, contractors, and internal departments--both via email, over the phone, and in person--while continuing to support the facilities supervisors and scheduling team.

We're looking for someone with a positive attitude and a genuine interest in Facilities Management or Administration. Ideal candidates will have computer skills, including familiarity with Microsoft Office applications such as Outlook and Excel. Excellent communication skills, a friendly and professional manner, high levels of organisation, and strong attention to detail are all essential. You should also demonstrate a willingness to learn and take direction, along with reliability, punctuality, and the ability to work both independently and as part of a team.
