Purpose



A Facilities Caretaker is responsible for maintaining the upkeep, safety, and security of the college's facilities-physical environment. The role involves performing a variety of tasks, including cleaning, minor repairs, grounds maintenance, and ensuring the proper functioning of building systems. The role ensures that the college and facilities are well-maintained, cost-effective, and meet health and safety standards.

Duties and Responsibilities:



Ensure the proper functioning and upkeep of building systems, including Heating Ventilation & Air Conditioning (HVAC), electrical, plumbing, and other essential services.

Carry out safety and security checks, including fire evacuation route inspections, fire extinguisher checks, and reporting any defects.

Maintenance of security, including control of sub master keys.

Maintain front door security and report suspicious activity, manage the opening and closing of buildings, conducting thorough security checks to confirm buildings are secure at night as may be required ensuring all security protocols are followed.

Move furniture and equipment in compliance with health and safety legislation and manual handling techniques.

Receive deliveries, sign off on goods, collect and deliver postal items and manage sorting and distribution to designated areas.

Maintain office supplies, ensuring basic stationery is stocked and accessible to staff/visitors.

Perform minor repairs and maintenance on building equipment and report defects requiring skilled repair.

Clean and maintain building areas such as entrances, windows, stairways, walls, ceilings, and public spaces.

Assist with room checks and ensure any defects are reported and logged.

Provide meeting room services, including room setup, refreshments, and Audio Visual (AV) equipment provision.

Coordinate office requirements such as moves, furniture setups, and deliveries.

Log and report technical faults and arrange repairs or replacements for office equipment.

Coordinate parking availability for staff, visitors, and students.

Maintain the reception area, greeting visitors and offering assistance when providing reception support and coverage when needed.

Represent the college professionally with a positive attitude and appearance.

Manage external service providers such as security, maintenance, cleaning, and air conditioning services.

Co-ordination of all premises-related work and engaging the necessary service providers, including planned and responsive maintenance, refurbishment, redecoration, office moves, and the provision of furniture and office equipment and liaise with the building contractors to follow through on approved work.

Oversee and supervise the in-house cleaning team and ensure cleanliness standards are maintained, as well as carrying out emergency cleaning as and when required (this may be as a result of sickness within the team).

Using the cleaning equipment and cleaning materials as necessary to carry out these duties in a safe way. This may include diluting and using cleaning chemicals as instructed with due regard to the health and safety regulations.

Manage key and lock changes to offices, lockers, including ordering supplies and overseeing access control systems, and upkeep of all related records.

Conduct weekly walk-throughs to ensure the building is in good order, note defects, and arrange repairs as needed.

Monitor, record and report on meter readings across campuses monthly

Maintain accurate records for all the related facilities tasks.

Occasionally work to be carried out outside of regular working hours as and when needed.

Operate an effective filing system, accurate records for all facilities-related documentation and management

At college events, assist with coordination and decoration of premises (college/external venues) as required and ensure anyone involved is adequately trained as well as supporting post event clean-up.

Review and make recommendations to maintain building integrity, and maintaining accurate records as required.

Perform other relevant duties related to the role as required.

Additional Responsibilities:



Ensure compliance with the College Health and Safety Policy.

Undertake other duties as appropriate to the role.

Requirements



Proficient in English with strong communication skills, both verbal and written.

Ability to use computers

Solid understanding of maintenance practices.

Excellent customer service skills and ability to engage with diverse individuals

Capability to work independently while also being an effective team player.

Willingness to undergo training for specific equipment or procedures as required

Full Driving License
