Role Purpose

The Executive Office Assistant will play a key role in providing comprehensive support to the Group Executive Office and its members including CEO\xe2\x80\x99s, the CFO, and senior executive leaders. The role encompasses range of responsibilities from managing diaries, co-ordinating meetings, compiling meeting material and coordinating the content and distribution of internal Group Communications.

Key Responsibilities
  • Support the Head of Executive Office to ensure seamless functioning of the department by
  • Assisting with the day to day running of the internal Group Communications strategy, collaborating with departments to ensure internal messages align with the company\xe2\x80\x99s mission, values, and strategic goals.
  • Planning, coordinating, and executing internal events such as Town Hall meetings, team building activities and annual Group events.
  • Maintaining effective communication with other departments and external stakeholders, including responding to enquiries and requests for information in a timely manner.
  • Supporting the co-ordination of meetings, events, and other activities for the CEO\xe2\x80\x99s CFO, and other top-level executives, ensuring optimal time allocation and coordination of appointments.
  • Manage email inboxes to prioritise by importance and remove unwanted emails.
  • Arranging and coordinating travel, including flights, accommodations, and transportation within budget, and ensuring a seamless experience.
  • Collection and collation of reports required from CEO\xe2\x80\x99s, CFO, and top-level executives for submission into Board and Executive meetings.
  • Carrying out general administration duties when required.
  • Managing Board Rooms bookings.

  • Excellent organisational skill with the ability to multitask and prioritise an everchanging workload to prioritise and manage expectations.
  • Excellent attention to detail to ensure all documentation and communication is correct.

  • Proven ability to work effectively under pressure and meet tight deadlines.

  • Proficiency in Microsoft Office and other relevant software applications including Salesforce.
Essential Qualifications:
  • A level or equivalent
Essential experience:
  • A minimum of 5 years\xe2\x80\x99 proven experience in an Executive Support role
