We are seeking a highly organized, proactive, and detail-oriented
Executive Assistant
to provide comprehensive administrative support to our [CEO/Executive/Leadership Team]. The ideal candidate will be a strategic partner, managing schedules, communications, and projects with professionalism and discretion. This role requires exceptional multitasking abilities, strong communication skills, and the ability to thrive in a fast-paced environment.
Key Responsibilities
Administrative Support
Manage complex calendars, including scheduling meetings, appointments, and travel arrangements.
Screen and prioritize emails, phone calls, and correspondence, responding on behalf of the executive when appropriate.
Prepare and edit reports, presentations, and other documents with high accuracy.
Organize and maintain confidential files and records.
Meeting & Event Coordination
Coordinate internal and external meetings, including logistics, agendas, and materials.
Attend meetings, take minutes, and track action items.
Assist in planning company events, conferences, and executive retreats.
Communication & Liaison
Serve as the primary point of contact between the executive and internal/external stakeholders.
Draft and proofread business communications, memos, and reports.
Maintain professionalism and confidentiality in all interactions.
Project Management
Assist with special projects, research, and data analysis as needed.
Track deadlines, deliverables, and follow-ups to ensure timely execution.
Collaborate with cross-functional teams to support organizational goals.
Organize internal and external meetings, including agenda preparation and minute-taking.
Arrange domestic and international travel, including itineraries and expense reconciliation.
Qualifications & Skills
Education:
Bachelor's degree in Business Administration, Communications, or related field preferred.
Experience:
Experience as Executive Assistant or similar role supporting C-level executives.
Technical Skills:
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Google Workspace, and scheduling tools (e.g., Calendly).
Soft Skills:
Exceptional organizational and time-management abilities.
Strong written and verbal communication.
High level of discretion and confidentiality.
Ability to anticipate needs and solve problems proactively.
Adaptability in a dynamic work environment.
