The School of Medical Sciences are looking to appoint a dynamic and proactive individual as Executive Assistant to the Head of School & Director of School Operations. Operating as part of the School Operations team, the post holder will provide confidential, high level Executive Assistant, administrative and project support to the Head of School and Director of School Operations, which includes acting as the primary point of contact for the School Office. They will also provide operational support to the School Operations Manager more widely, as required.
Candidates should have extensive experience of providing exceptional comprehensive dedicated administrative support at a senior management or leadership level, within a large, complex organisation. The post holder will ensure that the critical functions performed by the School Office are discharged efficiently and effectively. This will include proactively managing the School's calendar of committees and events, reviewing and refining business processes, coordinating requests for the Head of School, Director of School Operations and School Office and providing support for key staff including the School's Senior Leadership Team. The Executive Assistant will act as an office manager managing and supervising a small School Office team, allocating work, designing and improving processes and systems and undertaking projects.
This is a dynamic and demanding role and will involve considerable flexibility and the ability to prioritise tasks to enable the delivery of a consistently high standard of administrative support, ensuring effective and professional liaison with academic, administrative and external customers at all levels, to facilitate the smooth running of day-to-day activities within the School. They will be required to proactively engage with continuous improvements initiatives and innovations within the School. They will be a team player with the ability to build networks both within the School and across the wider University. The postholder will also be required to engage with various stakeholders including educational institutions, NHS Trusts and regulatory bodies.
