The Executive Assistant provides high-level administrative support to both the Head of School and the Director of School Operations, ensuring smooth and efficient office operations. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced educational environment. The ideal candidate will be a proactive problem-solver with strong communication skills and a commitment to supporting the school's mission.
Key Responsibilities
Administrative Support
Manage complex calendars, scheduling meetings, appointments, and travel arrangements for the Head of School and Director of School Operations.
Serve as the primary point of contact for internal and external stakeholders, including staff, parents, board members, and community partners.
Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy.
Organize and maintain confidential files, records, and databases.
Assist with board meeting preparation, including agenda distribution, minute-taking, and follow-up on action items.
Operations & Project Coordination
Support the Director of School Operations with logistics for school events, facilities management, and vendor relations.
Assist in budget tracking, expense reporting, and procurement processes.
Coordinate school-wide communications, including newsletters, announcements, and policy updates.
Help manage special projects, ensuring deadlines and objectives are met.
Meeting & Event Support
Schedule, prepare materials for, and attend leadership and committee meetings as needed.
Arrange logistics for school events, including room bookings, catering, and technology setup.
Take detailed minutes and distribute follow-up tasks to relevant parties.
Qualifications & Skills
Education:
Bachelor's degree preferred..
Experience:
As an executive assistant, preferably in an educational or nonprofit setting.
Skills:
Exceptional organizational and time-management abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite, Google Workspace, and database management.
Ability to handle sensitive information with discretion and professionalism.
Proactive, detail-oriented, and able to work independently.
Preferred:
Familiarity with school operations, budgeting, or event planning.
