Job Summary:



We are seeking a highly organized, proactive, and detail-oriented

Executive Assistant

to provide comprehensive administrative support to our executive team. The ideal candidate will be a skilled multitasker with excellent communication skills, capable of managing a wide range of responsibilities with discretion and professionalism. This role requires a high level of confidentiality, efficiency, and the ability to anticipate the needs of senior leadership.

Key Responsibilities:Administrative Support:



Manage and maintain executives' calendars, including scheduling meetings, appointments, and travel arrangements. Prepare and edit correspondence, reports, presentations, and other documents. Organize and maintain files, records, and confidential information. Handle incoming communications (emails, phone calls, etc.) and respond or redirect as appropriate.

Meeting & Event Coordination:



Coordinate and schedule internal and external meetings, including logistics, agendas, and materials. Attend meetings, take minutes, and follow up on action items. Assist in planning company events, conferences, and executive retreats.

Travel & Logistics:



Arrange complex domestic and international travel itineraries, including flights, accommodations, and transportation. Prepare expense reports and reconcile credit card statements.

Project & Task Management:



Assist with special projects, research, and data analysis as needed. Act as a liaison between executives, employees, clients, and external partners. Prioritize tasks and deadlines to ensure smooth workflow for the executive team.

Confidentiality & Discretion:



Handle sensitive information with the highest level of professionalism and confidentiality. Serve as a trusted advisor and gatekeeper for the executive(s).

Qualifications & Skills:



Education:

Bachelor's degree in Business Administration, Communications, or related field preferred.

Experience:

3+ years as an Executive Assistant, Administrative Assistant, or similar role supporting C-level executives.

Technical Skills:

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), Google Workspace, and virtual meeting tools (Zoom, Teams).

Soft Skills:

Exceptional organizational and time-management abilities. Strong written and verbal communication skills. High attention to detail and problem-solving aptitude. Ability to work independently and under pressure. Professional demeanor with a customer-service mindset.
