Executive Assistant & Project Coordinator - PX, International
you will oversee the day-to-day functions of the Senior Vice President of People Experience, International. You will handle a wide range of administrative, executive and team support related tasks, as well as assisting with the development of presentations, support on team experiences, and coordination of key projects and project plans for a variety of initiatives.

What you'll do:

Project Coordination (70%)
Assist in the development of presentations, emails and surveys for internal and external audiences using the Microsoft Office Suite & Canva.
Draft, review and send communications on behalf of PX SVP International as needed.
Organize, prepare, coordinate and run meetings including running the agendas, gathering information/documents, logistics, follow up on action items and summarize meeting notes and core insights and takeaways.
Track and report on PX International budget, working with relevant Finance partners and PX team colleagues to ensure timely and accurate information is always available.
Research and provide analysis and insights on PX initiatives and projects as needed.
Maintain, manage and coordinate updates on key PX projects and initiatives standing in for the SVP International as needed on status update meetings.
Coordinate logistics for programs and handle ad hoc projects as it relates to the PX International team.
Represent both the PX team and the SVP PX International in a professional and positive manner at all times.
Assist with the planning and execution of meetings and events on behalf of the department.
Administration (30%)
Provide administrative support including calendar management, arranging Teams/Zoom calls, booking travel, coordinating meetings/events and submitting expenses reports in a timely and accurate manner.
Organize and maintain the team's distribution lists and PX shared drive.
Develop, manage and maintain the PX International team communications channels to share updates related to new hires, birthdays, key events and other cultural connection events and celebrations working with the PX Brand and Culture Associate Director.
Develop and maintain strong relationships with other senior executive assistants across the global business, and especially within PX.
Organize and maintain office area to represent and reflect a creative, energizing and calming environment.
Must be available evenings and occasional weekends when travel or emergency needs arise.
This role is required in-office a minimum of 3 days a week, principally the same days as the SVP PX International.
Who you are:

Previous experience operating as an executive assistant reporting to a senior-level executive, preferably gained in an environment where confidentiality is critical.
Extremely organized and detail oriented while working in a fast-paced environment, sometimes under pressure. Ability to move between different tasks and prioritize effectively.
Proven ability to handle confidential and sensitive information with a high level of professionalism and discretion.
Expert level written and verbal communication skills.
Strong technology skills, highly proficient in Microsoft Office Suite, including ability to work with both PC and Mac programs.
Experience using Canva, Adobe Suite or other creative products and project management tools a plus.
Must have the ability to think independently, be pro-active and take action without supervision, create and develop ideas that lead to positive change or improvements as well as the ability to solve a variety of problems.
Strong project coordination skills required.
Must be able to accept changes readily, both in job responsibilities as well as in the work environment.
Passionate and a keen interest in the People function is essential.
Highly collaborative with excellent interpersonal skills and the ability to interact effectively with colleagues at all levels and across functions.
Proactive, flexible and good decision-making ability.
