We provide all non-military support on-site, which includes everything from transport management to ground works and mechanical and electrical engineering. We are looking for a Executive Assistant to join our building services team at Northwood HQ. This key role will see you working directly to the Site Commanding Officer, assisting with Visit Coordination, Public Relations, Community Engagement, Support to Meetings, Commanding Officer Diary Management, Travel Management and Headquarter Orders and Rosters administration. You\xe2\x80\x99ll:
Be responsible for coordinating all aspects of inward Visits to Northwood Headquarters (NWDHQ).
Correspondence relating to internal and external events hosted by NWDHQ.
Assist in coordinating Bunker Tours and Private Lunches with appropriate internal and external organisations.
Engage with other HQs located at Northwood to ensure coordination of Visits Programme.
Attend off-site community engagement events as required by the CO.
Management and oversight of communications with partners in wider Community including staffing of CO\xe2\x80\x99s correspondence.
Coordinate meetings including drafting notes and following-up outstanding actions:
Arrange meetings chaired by CO and produce minutes as required.
Organise and coordinate meetings and conferences for the CO including booking appropriate conference facilities, liaison with attendees (including security clearance/escorting), creating briefing packs (including travel documentation, visit instructions and reading material).
Assist in organising CO\xe2\x80\x99s Official Entertainment events and off-site team events.
Book new joiners/leavers appointments.
We are looking for:
Preserver confidentiality of sensitive information
Establish and maintain the trust of the CO and command team
PC Literate \xe2\x80\x93 including Outlook, Word, Excel and Teams as a minimum
Good customer liaison background
Office Administration background
