Job Overview

We're seeking an experienced and highly organised Executive Assistant to support the COO and CEO in a fast-paced, high-growth tech environment. This is a key role that goes far beyond traditional diary management - you'll be at the heart of operations, enabling our executives to focus on strategic goals, while you handle the detail. A true right-hand to our leadership.

The ideal candidate will be a dynamic force of structure, communication, and efficiency, someone who can keep the business moving forward by ensuring the executive team is always one step ahead.

What we're looking for:

Someone the COO and CEO can rely on implicitly:

discreet, loyal, have strong judgement, meticulous attention to detail and always be one step ahead.

A Master of the Calendar:

Coordinating complex schedules and ensure meetings, events, and updates are flawlessly executed. The EA must ensure that regular, uninterrupted time between the CEO and COO is protected and upheld as non-negotiable. The business cannot operate effectively if the leadership is constantly reactive to others' agendas.

A Force Multiplier:

By anticipating needs, managing communications, and driving execution, you'll amplify the effectiveness of the leadership team.

A Mentor & Manager:

Overseeing and providing guidance to the Personal Assistant to ensure they remain productive, aligned, and contributing meaningfully to the executive function.

A Work/Life Guardian:

Helping protect the CEO and COO's time, enabling them to maintain a sustainable balance between professional demands and personal wellbeing.

Skills and Experience:

Experienced & Professional:

A proven track record supporting senior executives, ideally within a dynamic, tech-focused or fast-paced organisation.

Exceptionally Organised:

Capable of juggling multiple priorities, managing complex schedules, and keeping the executive office running with military precision with meticulous attention to detail.

Tech-Savvy & A Fast Learner:

As a technology-led company, we need someone who thrives on digital systems and quickly adapts to new tools, platforms, and processes.

Emotionally Intelligent & Adaptable:

Must be able to work closely with both the CEO and COO, who have very different personalities and working styles. The ability to adapt your approach accordingly is essential.

Discreet & Trustworthy:

You'll be handling sensitive information daily. Complete discretion, strong judgment, and professionalism are non-negotiable.

Commanding & Assertive:

Must be confident in managing and holding Heads of Department accountable for completing tasks and delivering outcomes. You'll be expected to speak on behalf of the CEO/COO and stand your ground when needed, always representing the executive team with authority and clarity.

People-Oriented:

Must be able to work effectively with individuals at all levels of the organisation, from junior team members to board members, and establish trusted relationships across departments.

Proactive & Resourceful:

We need someone who sees what needs to be done before being asked, solves problems before they arise, and brings structure to ambiguity.

Communication:

Verbal and written communication must be impeccable. You must be able to draft professional, concise, and accurate emails and documents without the need for oversight or corrections. Verbal communication needs to be strong, so that you're clear and diplomatic, regardless of whether you're coordinating between teams, managing upwards, or representing the CEO/COO externally.

Clean Licence:

A valid driving licence is required.
