Here at GRAHAM we are searching for a full-time experienced
Document Controller
to join our team.
The successful candidate will assist and support the wider team as they seek to establish solid working relationships across multiple projects and the wider division. Candidates should have strong IT skills, including exposure to 4P and SharePoint as well as stellar organisation skills and good attention to detail.
This vital role is key in ensuring the smooth running of operations and forms an integral part of project support. It is therefore essential that the successful candidate is a strong team player, who can confidently communicate with senior management, stakeholders and clients.
Key Responsibilities
Management and control of all project-related documents, including drawings, specifications, and reports.
Maintain and update document control systems to ensure accurate records and easy retrieval of information.
Support the distribution of documents to relevant stakeholders and ensure timely receipt of feedback.
Review QA of submitted drawings via collaboration platform (Viewpoint 4Projects).
First instance review of rejected documents to ensure information has been updated, before it is passed to the Design Manager for full review.
Set-up and administer internal management system - Sharepoint platform for individual projects.
Facilitate and coordinate the requests for information between external designers, subcontractors, or consultants.
Assist with creating design tender & work packages for commercial teams to send out alongside commercial details.
Assist with the progress of building control, planning, or third party insurance package submissions.
Request information to close out compliance packages, including the ordering of tests and certificates.
Contribute to the monthly design report where necessary, giving IRS updates on what has been received and what is expected.
Supply information for compilation of the O&Ms, eg. datasheets and design information.
Set up new projects and maintain viewpoint folders in line with company standards.
Set up and monitor workflows, tasks, discussion, etc.
Provide technical and functional support to Viewpoint and Sharepoint platform users.
Prepare basic documents and templates for regional project use.
Create and maintain workflows in order to process information on Viewpoint.
Prepare and maintain document templates and standards (eg Reports)
Archive and file documents when required.
Essential Criteria
Proven experience in a busy Document Control role
Fully IT literate, with solid experience using both SharePoint and Viewpoint 4P
Strong organisational skills and attention to detail.
Excellent communication skills, both written and verbal.
Professional, approachable, and confident in dealing with stakeholders at all levels.
Desirable Criteria
Experience working with a Tier1 construction company
Experience of NEC
