Role Description
This is a full-time on-site role as a Practice Manager/Treatment Coordinator at Attelia london located in Fulham area, London. The role involves overseeing the daily operations of the practice, managing staff, handling patient queries, and ensuring compliance with regulations.
Key responsibilities:
Producing financial information to include KPIs in the time scale defined. Also, financial data should be presented at regular meetings.
Liaising between dentists, staff, and patients to ensure the smooth running of the practice,
Ensuring that practice stock is monitored and ordered to the requirements.
Checking all stock coming into the practice and record all shortages from delivery.
Carrying out full reception duties as and when required.
Booking and changing appointments both in-person and over the phone
Dealing with incoming enquiries from patients, in person, over the phone or via email.
Monitoring regulatory compliance and updates and share any relevant information with the team.
Ensuring that internal marketing standards are maintained.
Monitoring patient feedback using questionnaires provided at prescribed intervals.
Managing patients' complaints from initial complaint through resolution. Liaising with other team members as necessary.
Ensuring that patient records are accurate and current.
Leading by example and motivating all the staff to work as a team and in accordance with the practice's policies.
Arranging induction training for a new team member and ongoing training for the existing team.
Setting up and maintaining personnel files.
Carrying out staff appraisals and ensure that the results of the appraisals are assessed and followed through.
Ensuring that adequate levels of staff are available at all times.
Identifying the development needs of both staff within the clinic and the clinic itself and ensuring these areas are forwarded to the partners.
Ensuring staff are fully trained on all systems and the training is updated as required.
Ensuring staff records are kept up to date.
Creating payroll information on a monthly basis.
Ensuring that equipment is regularly serviced and that service contracts are taken out where appropriate.
Ensuring the practice security is maintained at all times.
Regularly reviewing hygiene procedures in the practice and taking appropriate action in required to include HTM 01-05
Ensuring clinical waste procedures are followed in accordance with COSHH guidelines.
Ensuring fire procedures are carried out by all staff.
Qualifications
Proven experience in dental practice management
Strong communication and leadership skills
Strong computer skills
Knowledge of dental office procedures and regulations
Organizational and multitasking abilities
Proficiency in dental practice software systems
