An exciting opportunity to be involved in the preparation and running of a major international academic conference, working alongside an experienced and friendly team.



The organisation


IATEFL, the International Association of Teachers of English as a Foreign Language, is an international membership association with over 50 years of experience in linking, supporting and developing English language teaching professionals around the world. The association is a registered UK charity with a Head Office in Faversham, Kent. The Head Office is located in purpose-built modern premises, with free parking. A small, friendly team of 10 colleagues make up the Head Office staff. We hold an annual conference and exhibition in the UK for around 2,500 delegates. In 2026 the conference will be held at the Brighton Centre and the adjacent Grand Hotel.

Key Accountabilities / Primary Responsibilities


The Conference Programme Coordinator (CPC) at IATEFL is responsible for the day-to-day running and organising of the academic programme for the annual international conference, a 4-day conference taking place next year in Brighton in April 2026. They work alongside other conference team members including; the Conference Planning Officer (CPO), Exhibition and Sponsorship Officer and the Volunteer Support Officer to ensure the successful delivery of the IATEFL annual conference. The conference is an integral part of the IATEFL calendar and as such, other IATEFL team members will undertake specific designated tasks to support the conference team in the lead up to, and the running of, the event. The CPC will also be required to work closely with a contracted Conference Programmer who timetables the academic sessions following a proposals process.

The CPC is the first point of contact with conference speakers as well as various other stakeholders, and is required to remain calm and polite with all manner of people from many different parts of the world and show an adaptable and cooperative attitude to working as part of a team. They must demonstrate exceptional organisational skills.

Responsibilities:


The CPC is responsible for the smooth administration and organisation of the academic programme, and coordination with other team members to facilitate the organisation of the overall conference. Principally this involves:

Setting up the administrative procedures to provide members and non-members with accurate pre-conference and post-conference information. Overseeing the proposals process and liaison with speakers before, during and after the conference. Working closely with, and fully supporting, the Conference Programmer in planning the academic programme of the conference. Liaison with plenary speakers. Being the first point of contact with bodies funding speakers, such as publishing houses. Ensuring the smooth running of the academic aspects of the conference on-site. Liaising with suppliers for ancillary services such as AV, managing the order of all required equipment, and the invoice administration for this in collaboration with our Finance Office. Ensuring the academic timetable is accurately transferred into the conference app and the conference programme and overseeing the programme design. Collaborate with other team members to develop a marketing plan for the conference to include the development of promotional materials and social media advertising. Developing and maintaining close partnerships with the Conference organising committee through regular contact and attendance and organisation of committee meetings to provide feedback, advice and support. Attending site visits as required in the run up to the conference.

About you:


We are looking for a highly confident administrator with excellent organisational, IT and CRM skills. The successful candidate will be highly literate and numerate with a meticulous attention to detail, work well under pressure, and be confident and enthusiastic with strong communication and inter-personal skills.

Working hours: Full time, or nearly full time Expected start date: Late May or early June 2025 Length of contract: Temporary - maternity cover - 10 months Flexible working hours, and partial working from home (2 days per week for most of the year outside key times) Pay: pro rata of 31,000 per annum Company pension scheme Pro rata of 29 days holiday (including bank holidays) and 2 days after conference, plus Christmas shutdown Attendance of the IATEFL International Conference in April 2026 with hotel accommodation and travel & living expenses covered by IATEFL in line with their expenses policy.
