We are seeking a highly organised and detail-oriented Secretary to join our team. The ideal candidate will provide essential administrative support, ensuring the smooth operation of our office. This role requires a proactive individual who can manage multiple tasks efficiently while maintaining a high level of professionalism and confidentiality.
The role:
Producing accurate correspondence, documentation and forms using audio dictation, word and excel.
Answering and making telephone calls promptly and professionally and passing on accurate messages.
Dealing confidently with client enquiries and assisting clients to complete forms and documentation as required.
Filing, updating client files and retrieving information for clients and colleagues in a timely manner.
Planning and maintaining an effective diary, appointment and follow-up system.
Developing oneself within the role by making and taking opportunities for learning, education and training.
The candidate:
Excellent interpersonal skills and clear written and oral communication skills.
Self-motivated with the ability to work independently as well as part of a team, demonstrating initiative when required.
Accurate keyboarding skills
Audio typing ability
Ability to use various software packages i.e Word, Excel
Ability to form and maintain effective business relationships with clients and team relationships with colleagues.
Familiarity with legal case management systems
2-5 years minimum experience working as a secretary in a legal practice.
Conscientious and diligent, paying attention to detail, particularly when dealing with routine tasks.
