Job Description

Greens Norton & Weedon Medical Practice (GNWMP) are looking for an enthusiastic, committed, and flexible person for the role of Coding & Workflow Administration to join our well-established two site practice.

Working across both sites, we are looking for someone to work 37.5 hours (across 5 days) either starting at 0745 hrs or finishing at 1830 hrs. A driving licence is essential.

Experience:

We are seeking a highly organised Coding and Workflow Administrator to join our friendly GP practice team.

In this vital role, you will ensure accurate clinical coding, summarise patient records, and manage incoming correspondence to support high-quality patient care.

The ideal candidate will have:

Experience in a healthcare administrative role (GP practice preferred). Understanding of medical terminology and clinical coding (READCODE/SNOMED CT) and confidentiality protocols. Knowledge of QOF and healthcare targets an advantage. Accurate data entry and strong attention to detail. Confidence using clinical systems (SystmOne). A proactive, organised, and professional approach. A team player. Flexible, keen to learn and develop skills. Good general education (GCSEs or equivalent. Clinical coding or summarising qualification (or willingness to train).

Job Purpose:



To ensure accurate clinical coding and efficient workflow management of patient information within the GP practice, supporting high-quality patient care. This includes the summarising of new patient records, maintaining up-to-date electronic health records, coding clinical activity, and managing incoming correspondence effectively through the practice's document management systems.

Key Responsibilities:



Clinical Coding & Summarising:



Accurately code clinical information from consultations, letters, and reports using appropriate clinical coding standards (e.g., SNOMED CT). Summarise and code new patient records, ensuring critical medical history, allergies, vaccinations, and significant past conditions are clearly recorded. Maintain and update patient electronic records in line with practice protocols and national guidelines. Work with clinicians to ensure accuracy and consistency of coding and summarising. Perform clinical audits of coding and summarising work as needed.

Workflow Management:



Process and assign incoming correspondence (e.g., hospital letters, discharge summaries, pathology results) to the appropriate clinician or administrative team, ensuring timely action. Liaise with clinicians to clarify and action any documentation or workflow queries. Use the practice's workflow software systems efficiently to support task management and correspondence handling. Identify and escalate any urgent or clinically significant information appropriately.

Administrative Support:



Assist with the achievement of practice QOF (Quality and Outcomes Framework), Enhanced Services, and other clinical targets through accurate coding. Support the recall and management of patients for chronic disease management clinics based on coded information. Assist with data collection for audits, clinical research, and reporting purposes. Provide general administrative support to the clinical and management team when needed.
