Clinic Manager

Our client The UK\'s Leading Private Baby Scan Clinics, who are proud to offer families an outstanding level of care throughout their pregnancy journey. Their clinics offer a range of private ultrasound scans from 6 - 42 weeks gestation, and are conducted by fully qualified, medical Sonographers. Their goal is to ensure each client feels safe during their baby scan experience.

Hours: 37.5 hours per week between the hours 10am to 8pm Monday to Sunday.

Salary: Up to \xc2\xa314 p/h

Location: Worthing

Main purpose of job:

• Be the line manager for all employees and contractors across specified clinic.
• To be the initial point of contact for staff queries & any clinic issues.
• To ensure that staff and contractors are operating in a safe, effective, caring and responsive manner to customers and colleagues alike.
• Work closely with the rest of the management team to ensure resources are optimised in terms of skills and availability.
• Contribute to the local strategies to maximise business growth including profitability.
• Co-ordinate and support the social media initiatives for the clinic.
• Handle customer calls as required.
• Cover set shifts as standard and support the team to cover resourcing gaps for planned and unplanned absence.

Key tasks and responsibilities:

Recruitment:

• Plan resource requirements based on an understanding of the business direction and any known changes in employee / contractor requests.
• Ensure the recruitment process for UK recruits is conducted in line with current legislation.
• Manage the recruitment process for UK recruits to ensure they receive a timely response to queries throughout.
• Support in the recruitment process for any migrant workers, as required.
• Achieve recruitment and training start dates to meet the business requirements and maintain the standard shift patterns where viable.
• Ensure new support staff have the relevant training and support together with competencies, capabilities, skills, knowledge, aptitude, emotional intelligence, and resilience to complete the requirements of their job description.

Training and Feedback:

• Plan and manage delivery of initial training (both remotely and in person as required) to ensure staff are competent and assessed before working independently in the clinic.
• For all employees and contractors, deliver feedback and coaching as required regarding all aspects of performance ensuring this is documented and submitted to the company director.
• Complete appraisals at least annually for all employees, and ad hoc meetings and feedback sessions are conducted as required (particularly important following initial induction and go-live).
• Develop and roll-out training as required to meet changes within the business.

General:

• Ensure all employees and contractors are working according to the health and hygiene requirements of policies and procedures and identify, resolve or escalate any concerns (if necessary).
• Scans to be ceased if there is any immediate risk to the customers or staff until the matter is resolved.
• Be the first point of contact for the day-to-day queries arising from SAs & sonographers regarding availability and shifts.
• Populate the shift planner at least 3 months in advance on a rolling basis and ensure the booking system reflects the resource to cover opening times.
• Secure cover for shifts in the event of absences for any reason. In the event this is not possible, agree a strategy to manage the day with your manager which may involve rescheduling customers.
• Schedule and develop content for quarterly meetings and deliver as required.
• Develop and rollout Mandatory Training (whether at meetings or outside of these) as required.
• Ensure timely completion of quarterly Care & Service Assessments for sonographers.
• Initiate, resource and feedback quarterly technical assessment for sonographers.
• Be in the clinic regularly ensuring that you vary days/times to see all employees & contractors.
• Cover set shifts as Team Leader & Scan Assistant, to ensure own knowledge is maintained/ increased and support the team as required.
• Complete other activities and projects from time to time as required (hours permitting).
• Feedback to the company director on any key issues regarding employees, contractors or the running of the business generally including any safety breaches, customer dissatisfactions, emergency referrals, emergency situations (e.g. safeguarding concerns) or complaints on the day.
• Safeguarding concerns and emergency situations including referrals to be advised on the day within a timeframe appropriate to the severity of the situation and relevant policies/procedures.
• Be responsible for maintenance of all compliance checks for individuals and the clinic ensuring these are completed within the timelines specified.
• Collaborate with the social media lead to develop ideas and content for posts.
